Ctrl Alt Experience Pvt Ltd builds large scale immersive and interactive environments. Multi zone experience centers, museums, interactive installations, real time 3D and enterprise AI platforms. A single project can involve a dozen stakeholders and dozens of stations across multiple floors.
We are hiring a Project Coordinator to hold that detail together. Tracking scope station by station, chasing open queries to closure, keeping documentation current, and being the reliable pair of hands on site during installation and commissioning.
This is a coordination role, not a design or engineering role. But you will be surrounded by AV, software and 3D people, and you are expected to become fluent enough in their language to be useful.
Location: Bengaluru, with travel to project sites across India, UAE and Saudi Arabia.
WHAT YOU WILL DO
Project tracking and documentation
- Maintain the master project tracker: scope per zone and station, deliverables, owners, dates and current status
- Run the RFI and open query log. Raise, chase, escalate and close items with client and vendor teams
- Keep the decision log and version controlled documentation: scope sheets, BOMs, hardware lists, cable schedules, sign off records
- Prepare weekly status reports, MOMs and dashboards for internal review and client circulation
Stakeholder and vendor coordination
- Act as the day to day point of contact for client side PMs, main contractors, AV integrators and content partners
- Schedule and run coordination calls, publish minutes with clear owners and due dates
- Track vendor deliverables, POs, deliveries and dependencies, flag slippage early
On site support
- Travel to project sites for surveys, installation, integration, snagging and go live
- Coordinate site readiness: power, network, mounting, access, permits, manpower
- Maintain a live snag list through commissioning and drive it to zero before handover
- Support UAT, client walkthroughs and handover documentation
Operations
- Support resource planning and site rosters across concurrent projects
- Track project spend against budget, process vendor invoices and travel logistics
- Maintain asset and hardware inventory across sites
MUST HAVE SKILLS
- 2 to 4 years in project coordination or project management, ideally in AV, systems integration, events, experience design, interiors and fit out, or software delivery
- Solid written English. You will be writing client facing minutes, RFIs and status reports daily
- Ruthless follow up discipline. The core skill is knowing what is open, who owns it, and when it is due, without being reminded
- Comfortable with project tooling: Excel or Google Sheets including pivot tables and trackers, plus at least one of Jira, Notion, ClickUp, Asana or MS Project
- Willing and able to travel. Domestic frequently, international occasionally. Valid passport preferred
- Able to work in an active construction or fit out environment during installation phases
TECHNICAL LITERACY (REQUIRED BASELINE) You do not need to be an engineer. You do need to be the person on site who can describe a problem accurately instead of saying it is not working.
- Operating systems: comfortable on both Windows and macOS, knows they behave differently and knows which applications and file formats live on which. Able to install software, check display settings, read Device Manager or System Information, and find logs when asked
- Devices and connectivity: confident setting up and troubleshooting iPads and Android tablets. WiFi profiles, guided access and kiosk mode, MDM basics, pairing to a network or a controller,
and why a device on guest WiFi cannot reach a machine on the project VLAN
- Networking fundamentals: understands IP addresses, subnets, static vs DHCP, VLANs, switches and ports, and can run ping, ipconfig or ifconfig to isolate whether an issue is network, device or application
- AV signal basics: knows HDMI vs DisplayPort vs USB C, extenders and matrix switchers, and can trace a signal path from source to display to identify where it breaks
- Cabling and labelling: understands Cat6 runs, patch panels and port mapping, and why a clean labelling scheme saves a week during commissioning
GOOD TO HAVE
- Hands on experience with AV systems: projectors, media players such as BrightSign, touch tables, audio DSP, projection alignment
- Exposure to software or real time 3D delivery using Unity, Unreal Engine or web apps, and to how builds, versions and releases work
- Familiarity with construction and fit out coordination: drawings, mockups, snag lists, handover packs
- Documentation habits in Obsidian, Confluence, SharePoint or similar
- Basic understanding of Gantt, critical path and dependency planning
- Experience working with GCC clients or on projects in UAE and Saudi
WHO THIS SUITS Someone organised to the point of being slightly annoying about it. Someone who notices that a station has not had a decision confirmed in three weeks and raises it before anyone asks. Someone happy to be in the office chasing documentation on Tuesday and on a museum floor at 11pm on Friday making sure a display comes up correctly.
