Job Summary The Internal Audit Manager will be responsible for planning, managing, and executing internal audits across hospital departments to ensure financial accuracy, operational efficiency, regulatory compliance, internal controls, risk management, and proper utilization of hospital resources.
The role will independently review hospital processes, identify control gaps, investigate discrepancies, recommend corrective actions, and follow up with respective departments to ensure timely implementation of audit recommendations.
Key Responsibilities1. Internal Audit Planning & Execution
- Develop and implement an annual and periodic internal audit plan.
- Conduct regular audits across hospital departments and support functions.
- Review financial, operational, administrative, and process-related controls.
- Identify potential risks, control weaknesses, process gaps, and irregularities.
- Conduct surprise checks and special audits as directed by management.
- Prepare detailed audit observations and reports for management review.
1. Finance & Accounts Audit
- Review daily collections from OPD, IPD, pharmacy, diagnostics, procedures, and other hospital services.
- Verify cash collections, deposits, receipts, refunds, discounts, and adjustments.
- Review billing processes and identify revenue leakages or unauthorized adjustments.
- Verify credit bills, corporate accounts, insurance/TPA claims, and outstanding receivables.
- Review purchase invoices, vendor payments,
expenses, and supporting documents.
- Verify bank reconciliation and cash handling processes.
- Review petty cash transactions and supporting bills.
- Check authorization and approval processes for financial transactions.
1. Pharmacy & Inventory Audit
- Conduct periodic audits of pharmacy stock and hospital consumables.
- Verify physical stock against system records and stock registers.
- Identify shortages, excess stock, expired medicines, near-expiry items, and wastage.
- Review medicine purchase, issue, return, and disposal procedures.
- Audit high-value medicines and critical medical consumables.
- Review inventory controls across OT, ICU, NICU, PICU, wards, laboratory, radiology, and other departments.
- Ensure proper authorization for stock movement and consumption.
1. Hospital Operations Audit
- Audit operational processes across clinical and non-clinical departments.
- Review compliance with approved SOPs, policies, and authorization procedures.
- Conduct departmental process audits and identify areas for improvement.
- Review patient registration, admission, discharge, transfer, and billing processes.
- Verify proper documentation and approval of discounts, cancellations, refunds, and write-offs.
- Review ambulance utilization, transport records, and related expenses.
- Audit housekeeping, security,
facility management, stores, and other support services.
1. HR & Payroll Audit
- Review employee master data and payroll records.
- Verify attendance, biometric records, leave, overtime, incentives, and salary calculations.
- Check current joiners, resignations, relieving, salary revisions, and employee exits.
- Verify employee files and required documentation.
- Review statutory deductions and applicable compliance records.
- Identify unauthorized payroll entries, duplicate records, or discrepancies.
- Conduct periodic verification of manpower deployment against approved staffing requirements.
1. Medical Records & Documentation Audit
- Review completeness and accuracy of patient medical records.
- Verify documentation supporting billing and insurance claims.
- Check discharge summaries, investigation reports, consent forms, procedure records, and other required documentation.
- Identify documentation gaps that may result in claim rejection or revenue loss.
- Coordinate with Medical Records, Nursing, Billing, Insurance, and clinical departments for corrective action.
1. Insurance / TPA Audit
- Review insurance and TPA billing documentation.
- Verify claim files against hospital records and billing details.
- Identify claim deductions, rejections, documentation gaps, and revenue leakage.
- Review authorization, package billing, consumables, procedures, and supporting documents.
- Monitor outstanding claims and coordinate with relevant departments for resolution.
