A.
Patient
Registration and Reception
- Welcome patients, attendants and visitors courteously and professionally.
- Register new and follow-up patients in the Hospital Information System (HIS) or designated registration system.
- Collect and verify patient details, including name, age, gender, contact number and address.
- Generate patient registration numbers and OPD cards.
- Guide patients to the respective OPD, diagnostic departments, wards and other hospital facilities.
- Maintain accurate patient registration records and ensure confidentiality.
B. Appointment and OPD Management
- Schedule, confirm and reschedule appointments with doctors.
- Maintain daily OPD appointment registers and doctor availability schedules.
- Coordinate with doctors, nurses and the OPD coordinator regarding patient flow.
- Inform patients about appointment timings, waiting periods and consultation procedures.
- Assist in managing patient queues and prioritise emergency cases by immediately informing the clinical team.
C. Telephone and Enquiry Management
- Answer incoming telephone calls promptly and professionally.
- Provide accurate information about hospital services, doctors, OPD timings and diagnostic facilities.
- Transfer calls to the appropriate departments or staff members.
- Record messages and ensure timely communication to the concerned personnel.
- Handle patient and visitor enquiries politely and escalate complaints to the appropriate authority.
D. Billing and Cash Coordination
- Coordinate with the billing and accounts department for OPD registration and service charges.
- Guide patients regarding consultation fees,
diagnostic charges and payment procedures.
- Issue receipts and maintain records of payments if authorised.
- Ensure that all transactions are properly documented and handed over to the accounts department.
- Report any billing discrepancies or payment-related complaints to the supervisor.
E.
Patient
Relations and Customer Service
- Maintain a patient-friendly and professional attitude at all times.
- Assist elderly patients, persons with disabilities and patients requiring special assistance.
- Respond to patient grievances promptly and courteously.
- Coordinate with the concerned departments to resolve patient-related issues.
- Maintain patient satisfaction through effective communication and service coordination.
F. Documentation and Record Management
- Maintain OPD registers, appointment records, visitor registers and enquiry registers.
- Ensure proper filing and safe custody of patient-related documents.
- Maintain daily reports of patient registrations, appointments and enquiries.
- Ensure that patient information is not disclosed to unauthorised persons.
- Support hospital administration during audits, inspections and accreditation activities.
G.
Front Office
Maintenance
- Ensure that the reception area is clean,
organised and presentable.
- Maintain adequate availability of registration forms, stationery and patient information materials.
- Display updated doctor schedules, hospital service information and patient guidance notices.
- Coordinate with housekeeping and security to maintain a protected and orderly reception area.
- Ensure proper handover of pending work to the next shift.
H. Emergency and Patient Safety
- Immediately inform the nursing and emergency teams about patients requiring urgent medical attention.
- Never delay emergency care for registration or payment formalities.
- Assist in directing patients and attendants to the emergency department.
- Follow hospital policies for patient identification, confidentiality and safety.
- Report any incident, complaint or unusual occurrence to the immediate supervisor.
1. Authority and Limitations
The Front Office Executive is authorised to:
- Register patients and schedule appointments.
- Provide approved information about hospital services.
- Issue receipts and collect payments only if formally authorised.
- Coordinate with hospital departments for patient services.
The Front Office Executive shall not:
- Provide medical advice or interpret diagnostic reports.
- Change doctors' schedules without approval.
- Offer unauthorised discounts or waive hospital charges.
- Disclose confidential patient information.
- Make clinical decisions or independently handle medical emergencies.
Pay: ₹8,000.00 - ₹12,000.00 per month
