Facilities Manager
Domnic Lewis has been mandated to hire a Facility Manager The Facilities Manager will report to the Facilities Lead and will be responsible for ensuring that facilities services are delivered efficiently and to a high standard. The role acts as the primary point of contact for facilities operations, ensuring smooth functioning of the workplace while maintaining strong security awareness, emergency preparedness, and Health & Safety compliance.
Roles & Responsibilities
Facilities Operations
- Ensure the delivery of Facilities Management services to a high standard while identifying opportunities for continuous improvement across all FM operations.
- Manage all external contractors including cleaning, maintenance, catering, plant maintenance, and pest control, ensuring adherence to defined SLAs and KPIs.
- Assist the facilities team with office moves, relocations, and other ad-hoc operational projects.
- Support the Facilities Lead and team with administrative and operational requirements.
- Liaise with service providers and contractors to ensure regular services such as recycling, courier services, and maintenance activities are executed effectively.
- Manage contractors, vendor contracts, and supplier relationships to ensure consistent service delivery.
- Oversee minor repairs, retrofits, and refurbishment projects within the facility.
- Support the implementation of facility-related capital investment projects including Mechanical & Electrical (M&E;), control systems, and security infrastructure.
Health, Safety & Environment (SHE)
- Collaborate with leadership to establish SHE strategy, drive stakeholder engagement, and implement effective safety programs across facilities.
- Define and deploy Health, Safety and Environment (HSE) programs and frameworks to ensure regulatory compliance and continuous improvement.
- Conduct gap assessments of existing safety practices against global industry standards and implement corrective actions.
- Develop and maintain SHE policies, processes, and procedures aligned with industry best practices.
- Ensure that the SHE management system is communicated and implemented across all employees and contractors.
- Build a strong safety-first culture, ensuring accountability and adherence to safety practices.
- Ensure compliance with local and national health,
safety, and environmental regulations.
- Review safety audit findings and ensure facilities remain audit-ready at all times.
- Conduct risk assessments for operational changes, ensuring appropriate controls are implemented.
- Establish frameworks to identify, track, and mitigate facility-related safety risks.
- Ensure all incidents, accidents, and near-misses are reported, investigated, and addressed through corrective and preventive actions.
- Develop SHE dashboards and metrics to monitor performance and report findings to leadership teams.
Vendor & Stakeholder Management
- Manage relationships with vendors, service providers, landlords, and key stakeholders through regular communication and performance reviews.
- Assess third-party vendors for compliance with safety and operational standards and ensure gaps are addressed.
- Ensure all vendors deployed on-site understand and comply with the organization’s SHE policies and procedures.
Regulatory Compliance & Audits
- Manage regulatory inspections, audits, and compliance reporting.
- Monitor evolving international, national, and local safety regulations, assessing their impact and recommending actions.
- Conduct internal safety reviews, risk audits, and compliance assessments to maintain operational standards.
Sustainability & Environmental Initiatives
- Develop and implement environmental sustainability initiatives aligned with corporate sustainability goals.
- Implement innovative programs related to environmental protection, waste reduction, and water management.
Emergency Management
- Develop and implement site-specific emergency response plans.
- Conduct regular emergency drills and tabletop exercises to ensure preparedness.
- Coordinate emergency response procedures and ensure employees and emergency teams are adequately trained.
Role Expectations
The candidate should possess strong expertise in managing Safety,
Health and Environment within facility operations, particularly in corporate office or industrial environments.
The individual should be capable of:
- Aligning site safety functions with global industry standards and best practices.
- Conducting comprehensive facility risk assessments and identifying risks from incidents, accidents, and near misses.
- Managing regulatory compliance, safety audits, and emergency preparedness programs.
- Establishing SHE governance frameworks within the organization.
- Developing and implementing site-specific emergency response strategies.
Ideal Candidate Profile
Management Experience
- Proven experience in corporate facilities management, either on the client side or with a service provider.
- Strong knowledge and understanding of Facilities Management principles and practices.
Relationship Management
- Demonstrated ability to manage vendor relationships and landlord interactions, ensuring performance against established KPIs.
Finance & Commercial Management
- Experience in budget management and cost control.
- Knowledge of procurement, purchasing, and invoicing processes related to facilities operations.
Quality, Safety & Environment
- Strong knowledge of Health & Safety legislation and regulatory requirements applicable to facilities management.
Performance Management & Governance
- Ability to monitor, analyse, and report operational performance, and implement corrective action plans where required.
Qualifications
- BE / B.Tech / M.Tech in Safety Engineering or
- B.Sc / Graduate from Hotel Management Institute
- Professional certifications in Facilities Management preferred
- Lead Auditor Certification in ISO 14001
- Experience handling internal and external HSE/SHE audits
- Strong Microsoft Office skills (Excel, PowerPoint)
- Valuable understanding of Mechanical and Electrical systems
- Excellent communication and stakeholder management skills

Experience in one of the following industries is preferred:
- Pharmaceutical
- IT / Technology
- Manufacturing
Experience
10 – 12 years of relevant experience in Facilities Management and SHE roles
