- Lead and coordinate the Facilities and Workplace Services agenda for FCC India, covering set-up, ramp-up, hypercare and BAU operations.
- Support the workplace readiness plan for the India entity, ensuring facilities requirements are identified, tracked and delivered in line with business timelines.
- Manage site mobilisation activities, including workplace access, seating, floor readiness, signage, meeting rooms, storage, security arrangements, visitor management, health and safety readiness, and employee amenities.
- Partner with internal stakeholders, landlords, building management, vendors and relevant BAT teams to ensure the workplace is fit for purpose and ready for employee onboarding.
- Ensure facilities services are established and operationally ready for day one, including cleaning, security, reception, pantry, maintenance, waste management, access control, transportation where applicable, and other workplace support services.
- Manage the transition from project set-up into BAU facilities operations, ensuring clear ownership, processes, service standards and escalation routes are embedded.
- Act as the primary point of contact for facilities-related matters in FCC India, supporting employees, managers and leadership with workplace queries, issues and service needs.
- Oversee day-to-day facilities operations to ensure a safe, compliant, clean, efficient and well-maintained workplace.
- Manage facilities vendors and service providers, ensuring services are delivered in line with agreed scope, service levels, compliance standards and budget expectations.
- Monitor vendor performance through regular reviews, issue tracking, service reports and improvement actions.
- Partner with Procurement, Legal, Finance and Compliance teams on vendor onboarding, contract management, purchase orders, invoice management and renewal processes.
- Ensure facilities activities comply with applicable local regulations, BAT standards, health and safety requirements, security protocols and internal governance.
- Support workplace health, safety and emergency preparedness activities, including risk assessments, fire safety, evacuation plans, first aid arrangements, incident reporting and corrective actions.
- Manage facilities budgets, purchase requests, invoice tracking and cost control, ensuring appropriate governance and transparency over workplace-related spend.
- Support business continuity and incident management from a facilities perspective, ensuring workplace risks, disruptions or service failures are managed effectively.
- Drive employee workplace experience initiatives, ensuring facilities services support productivity,
collaboration, wellbeing and engagement.
- Establish and maintain facilities documentation, including service trackers, asset lists, vendor registers, compliance evidence, maintenance logs and standard operating procedures.
- Use feedback, service data and employee insights to identify improvement opportunities and continuously enhance facilities service delivery.
- Partner closely with HR, IT, Security, Finance, Procurement, Legal, Compliance and business leaders to ensure integrated service delivery across the FCC India site.
- Support future growth, seating expansion, office moves, space planning or workplace changes as the FCC India organisation scales.
ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE
- Experience in facilities management, workplace services, office operations or site administration, preferably within a multinational or shared services environment.
- Experience supporting office set-up, site mobilisation, workplace transition, service ramp-up or facilities operations for a growing organisation.
- Strong understanding of facilities service management, including cleaning, security, maintenance, reception, access management, workplace safety and vendor management.
- Experience managing third-party vendors and service providers, including service reviews, issue resolution, performance management and invoice governance.
- Good understanding of local workplace compliance, health and safety, emergency preparedness and facilities-related statutory requirements in India.
- Ability to work in a fast-paced, ambiguous and evolving environment, balancing immediate operational needs with longer-term process building.
- Robust stakeholder management skills, with the ability to partner effectively with internal functions, external vendors, building management and leadership teams.
- Strong planning, organisation and execution skills, with attention to detail and ability to manage multiple priorities simultaneously.
- Commercial and cost-conscious mindset, with experience managing budgets, purchase orders, invoices and service costs.
- Practical problem-solving ability and willingness to take ownership of operational issues through to resolution.
- Continuous improvement mindset, with the ability to simplify,
improve and scale workplace processes.
- Strong communication skills, with the ability to provide clear updates, manage expectations and escalate risks appropriately.
- Working knowledge of workplace tools, service trackers, reporting dashboards or facilities management systems.
- Degree educated or equivalent professional experience in Facilities Management, Business Administration, Engineering, Operations or a related discipline.
DESIRABLE CAPABILITIES
- Experience in a Global Capability Centre, business services centre, technology hub or newly established legal entity.
- Experience supporting facilities hypercare after office go-live or large-scale employee onboarding.
- Knowledge of workplace experience, employee services and modern office operating models.
- Experience working with Procurement, Legal, Finance and Compliance teams on vendor contracts, service governance and spend management.
- Knowledge of sustainability practices in facilities management, including waste management, energy efficiency and responsible workplace operations.
- Experience managing workplace expansion, seating plans, office moves or hybrid working arrangements.
- Facilities Management certification, safety qualification or equivalent professional accreditation.
