Are you excited to join our team as Deputy Manager - Credit Controller?

As a Deputy Manager – Credit Controller at SmartQ, you will oversee and strengthen credit control, accounts receivable, and collection activities to ensure timely payments, minimize overdue receivables, and improve working capital. This position requires strong skills in credit risk management, client coordination, and problem-solving to resolve payment disputes, streamline collection processes, and ensure compliance with company policies.

Roles & Responsibilities

1. Collection Management

- Develop and execute collection strategies to achieve monthly collection targets and ensure timely realization of outstanding payments.
- Monitor customer payment commitments and conduct regular follow-ups for overdue invoices.
- Track collection performance, identify delays, and take necessary actions to minimize payment defaults.

2. Accounts Receivable Management

- Monitor customer outstanding balances, invoice due dates, and receivables aging to maintain a healthy accounts receivable portfolio.
- Review aging reports regularly and prioritize high-value and long-pending outstanding accounts.
- Ensure timely invoice submission, payment reconciliation, and accurate recording of customer receipts.

3. Credit Risk Management





- Evaluate customer creditworthiness and recommend appropriate credit limits and payment terms based on financial risk and payment history.
- Monitor credit exposure and identify customers with delayed payments or a history of defaults.
- Recommend credit holds, limit revisions, or escalation of high-risk accounts in line with company policies.

4. Dispute Resolution and Billing Coordination

- Coordinate with Sales, Operations, Billing, and customers to resolve invoice discrepancies, pricing issues, service-related disputes, and short payments.
- Track disputed invoices and ensure timely resolution to avoid delays in collections.
- Maintain a record of disputes, identify recurring issues, and implement corrective measures to prevent future occurrences.

5. Working Capital Optimization

- Drive initiatives to reduce Days Sales Outstanding (DSO) and improve the company's cash conversion cycle.
- Analyze collection trends, identify bottlenecks, and implement measures to accelerate cash realization.
- Work closely with internal stakeholders to ensure timely billing, accurate invoicing, and adherence to customer payment terms.

6. Customer Relationship Management

- Maintain professional relationships with customers and their finance teams to facilitate timely payments and resolve collection-related concerns.
- Communicate outstanding balances, payment schedules, and overdue notices clearly and professionally.
- Ensure customer commitments are documented and followed up until payments are received.

7. MIS Reporting, Analysis and Provisioning

- Prepare and review periodic MIS reports covering collections, outstanding receivables, aging analysis, overdue accounts, and collection targets.
- Analyze collection performance against targets and provide insights on overdue trends, high-risk accounts, and expected cash inflows.
- Ensure appropriate bad debt and expected credit loss provisioning in accordance with company policy and applicable accounting requirements.
- Provide timely reports and updates to Finance leadership to support decision-making and cash flow planning.

8. Compliance and Process Governance

- Ensure adherence to internal credit control policies, standard operating procedures, approved credit limits, and contractual payment terms.
- Maintain proper documentation of customer agreements, credit approvals, collection follow-ups, and dispute resolutions.




- Support internal and external audits by ensuring the accuracy, completeness, and availability of credit control records.
- Identify process gaps and strengthen controls to minimize financial exposure and collection risks.

9. Stakeholder and Team Coordination

- Collaborate with Finance, Sales, Operations, Legal, and other relevant teams to resolve collection challenges and improve payment realization.
- Conduct regular review meetings to discuss overdue accounts, collection commitments, customer escalations, and recovery plans.
- Guide and support team members in collection follow-ups, account reconciliation, reporting, and escalation management.
- Escalate critical payment delays, potential bad debts, and high-risk customer accounts to management with suitable recommendations.

10. Continuous Improvement and Process Automation

- Identify opportunities to automate collection tracking, payment reminders, reconciliation, and MIS reporting.
- Improve existing credit control processes to enhance productivity, accuracy, and collection efficiency.
- Establish measurable performance indicators for collection effectiveness, overdue reduction, and receivables management.
- Conduct periodic reviews of collection processes and implement corrective actions to improve overall credit control performance

Qualifications:

- Bachelor's degree in commerce, Finance, Accounting, or a related field; an MBA in Finance is preferred.
- Minimum 5+ years of experience in credit control, accounts receivable, collections, or receivables management.
- Strong knowledge of credit management, collection strategies, receivables aging, and bad debt provisioning.
- Experience in managing customer credit limits, payment terms, overdue accounts, and dispute resolution.
- Proficiency in MS Excel, MIS reporting, and ERP/accounting systems.
- Strong analytical, negotiation, communication, and stakeholder management skills.
- Ability to manage multiple customer accounts, meet collection targets, and work effectively across departments.
