KEY RESPONSIBILITIES
Offer & Appointment Letter Management
- Draft, review, and issue offer letters and appointment letters for India and USA hires, ensuring accuracy of compensation components, titles, joining dates, and legal clauses.
- Maintain and continuously improve offer letter templates for both geographies, keeping them current with labor law changes and internal policy updates.
- Coordinate with Talent Acquisition, Legal, and Finance to validate offer data before letters are issued.
- Manage end-to-end offer letter turnaround with speed and zero errors — the candidate experience depends on it.
Compensation & Benefits Administration
- Support the compensation benchmarking and salary banding process for India and US roles.
- Assist in the administration of employee benefits programs — health insurance, PF, Gratuity, ESIC (India) and 401(k), health, dental, vision plans (USA) — and maintain accurate records.
- Prepare compensation data inputs for payroll and ensure all CTC components are correctly structured and documented.
- Respond to employee queries on compensation structure, pay slips, and benefits enrollment.
Compliance & Documentation
- Ensure all offer documents comply with applicable employment laws — Indian Shops & Establishment Act, state-specific labor laws, and US federal/state employment regulations (FLSA, at-will provisions, etc.).
- Maintain organized, audit-ready records of all issued offer letters, compensation approvals, and supporting documentation.
- Flag compliance risks proactively and escalate to the appropriate team before letters go out.
Process Improvement
- Identify gaps in the offer letter and onboarding documentation process and propose scalable fixes.
- Support automation or digitization of the letter issuance workflow where applicable.
- Build and maintain SOPs for offer letter drafting and issuance across both geographies.
Compliance Reporting
- Prepare and maintain a monthly headcount and compensation report covering all active employees across India and the United States, including CTC breakdowns, role-wise salary distribution,
and new hire compensation data.
- Generate statutory compliance reports on a regular basis, including PF, ESIC, PT, and Gratuity contribution summaries for India, ensuring data accuracy before submission to the Finance and Compliance teams.
- Compile offer letter and appointment letter issuance reports tracking volumes, turnaround times, pending issuances, and any corrections made, shared with the HR and Compliance teams on a monthly basis.
- Maintain and submit gender pay equity reports and diversity-linked compensation analysis as required by the Compliance team for internal audits and regulatory filings.
- Prepare compensation data for SOC 1, SOC 2, ISO, and internal Finance audits, ensuring all employee records, salary components, and benefit deductions are audit-ready and accurately documented.
- Support the annual compensation benchmarking report by collating internal salary data and mapping it against external survey data, highlighting any pay gaps or out-of-band cases for HR leadership review.
- Generate and maintain a benefits enrollment and utilisation report covering health insurance, group mediclaim, and other benefits, shared periodically with the Compliance and Finance teams.
- Prepare ad hoc compensation and headcount reports as requested by the Compliance, Legal, or Finance teams within agreed turnaround timelines.
WHAT WE'RE LOOKING FOR
Must-Have Qualifications
- 2–4 years of hands-on experience in a Compensation & Perks or HR Operations role.
- Demonstrated experience drafting and issuing offer letters and appointment letters — not just reviewing, but owning the process.
- Exposure to both India and USA hiring practices and the ability to navigate the differences in comp structures.
- Solid understanding of Indian statutory compliance (PF, ESIC, PT, Gratuity, TDS) and working knowledge of US employment basics (at-will employment, FLSA classification, state-specific requirements).
- High proficiency in MS Word and Excel — you are the person others come to for document formatting and data accuracy.
- Extremely high attention to detail — a misplaced number or a missing clause in an offer letter is not acceptable, and you know that.
What Will Set You Apart
- You pick things up quickly. You do not need to be told something twice, and you ask smart questions the first time.
- You can manage multiple open offers simultaneously without dropping the ball on any of them.
- You are comfortable with ambiguity and can operate with minimal hand-holding.
- Experience with HRIS platforms (Workday, SAP SuccessFactors, Darwinbox, ClayHR, or similar).
- Exposure to compensation benchmarking tools or surveys (Mercer, Aon, or similar) is a plus.
- A strong communicator — you write clearly, communicate compensation details in plain English (or Hindi when helpful), and can hold your own in a conversation with Finance or Legal.
EDUCATION
- Bachelor's degree in Human Resources, Business Administration, Commerce, or a related field. An MBA in HR is preferred but not mandatory if your practical experience is strong.
