Role Overview
We are seeking a detail-oriented Project Coordinator (Civil) to join our back-office technical management team. In this pivotal office-based role, you will act as the operational bridge connecting consulting architects, structural/MEP teams, on-site project managers, external contractors, and clients.
Your core objective is technical quality control and coordination: ensuring zero-conflict, fully vetted Good for Construction (GFC) drawings reach the site on schedule, managing client variation workflows transparently, and assisting commercial teams in contractor quotation evaluations.
Key Responsibilities
1. Drawing Management & Technical Coordination
- Serve as the single point of contact (SPOC) between principal architects, structural designers, MEP consultants, and site execution teams.
- Scrutinize advance drawing sets for constructability, dimensional integrity, and interdisciplinary clashes (e.g., structural vs. plumbing/electrical sleeves) before final issue.
- Track drawing release schedules systematically to ensure site teams receive approved
Good for Construction (GFC) drawings well ahead of execution deadlines.
- Maintain a central Drawing Register, managing version control, revisions, and document distribution logs.
2. Site Interface & Execution Support
- Coordinate daily with the in office Project Manager to flag drawing discrepancies, track Requests for Information (RFIs), and resolve design-related blockades quickly.
- Validate that site teams execute only against current, stamped GFC drawings, formally superseding and archiving older drawing revisions.
3. Client Customizations & Commercial Variation Control
- Interface with clients to record, assess, and streamline custom alteration requests (flooring changes, internal layout shifts, electrical additions, etc.).
- Evaluate the structural, architectural, and schedule feasibility of client variations in coordination with design consultants.
- Prepare detailed Debit/Credit Notes reflecting rate analysis and cost impacts for material/labor variances, ensuring formal client sign-off and payment terms are secured prior to issuing site change orders.
4. Vendor Procurement & Quotation Review
- Assist the procurement and contracts department in floating Enquiries/RFPs to specialized sub-contractors (civil labour contractors, waterproofing specialists, HVAC/plumbing vendors, finishing contractors).
- Review technical specifications, bill of quantities (BOQ), and scope inclusions/exclusions across vendor quotes.
- Prepare comparative statements (CS), highlight commercial disparities, and assist senior management in commercial negotiations and vendor onboarding.
Candidate Qualifications & Skills
- Education: B.E. / B.Tech / Diploma in Civil Engineering.
- Experience: 3 to 7 years of relevant experience in structural/architectural drawing coordination, technical office management, or site-office liaison for residential/commercial construction projects.
Technical Skills:
Proficiency in AutoCAD (drawing review, dimension verification, layer management).
Strong working knowledge of Microsoft Excel (comparative analysis, rate analysis, variation calculations, reporting).
Familiarity with project scheduling tools (MS Project / Primavera) is an advantage.
Core Competencies:
High attention to detail; ability to spot omissions, scale errors, and coordination clashes across complex drawing sets.
Strong commercial acumen regarding BOQs, market rates, and debit/credit statement structures.
Professional written and verbal communication skills for cross-functional vendor negotiation and customer-facing interactions.
