Compliance & Documentation

Maintain organized, audit-ready records of all issued offer letters, compensation approvals, and supporting documentation.
Flag compliance risks proactively and escalate to the appropriate team before letters go out.

Process Improvement

Identify gaps in the offer letter and onboarding documentation process and propose scalable fixes.
Support automation or digitization of the letter issuance workflow where applicable.
Build and maintain SOPs for offer letter drafting and issuance across both geographies.

Compliance Reporting
Prepare and maintain a monthly headcount and compensation report covering all active employees across India and the United States, including CTC breakdowns, role-wise salary distribution, and new hire compensation data.
Generate statutory compliance reports on a regular basis, including PF, ESIC, PT, and Gratuity contribution summaries for India, ensuring data accuracy before submission to the Finance and Compliance teams.

Compile offer letter and appointment letter issuance reports tracking volumes, turnaround times, pending issuances, and any corrections made, shared with the HR and Compliance teams on a monthly basis.
Maintain and submit gender pay equity reports and diversity-linked compensation analysis as required by the Compliance team for internal audits and regulatory filings.
Prepare compensation data for SOC 1, SOC 2, ISO, and internal Finance audits, ensuring all employee records, salary components, and benefit deductions are audit-ready and accurately documented.
Support the annual compensation benchmarking report by collating internal salary data and mapping it against external survey data, highlighting any pay gaps or out-of-band cases for HR leadership review.
Generate and maintain a benefits enrollment and utilisation report covering health insurance, group mediclaim, and other benefits, shared periodically with the Compliance and Finance teams.
