1. Delivery Planning
- Receive daily delivery schedule from the office.
- Check customer name, address, contact person, PO, invoice and delivery instructions.
- Plan the route with the driver to minimize unnecessary travel and time.
- Confirm appointments before leaving wherever required.
2. Loading & Material Verification
- Verify all material against the invoice/dispatch list before loading.
- Check quantity, product, pack size and condition of goods.
- Ensure material is properly loaded and secured.
- Take responsibility for preventing shortages, damage or wrong deliveries.
3. Delivery Execution
- Travel with the company driver and coordinate the complete delivery.
- Ensure material reaches the correct customer/location.
- Coordinate with the customer's stores/purchase/security team.
- Ensure unloading is completed properly.
- Follow customer-specific delivery procedures.
4. Documentation & POD
- Carry required documents:
- Invoice
- PO
- E-way Bill, wherever applicable
- Appointment copy
- Delivery challan
- Other customer-specific documents
- Obtain signed/stamped POD or digital confirmation.
- Ensure POD clearly mentions date, quantity and receiver details.
- Submit POD to office on the same day.
5. Customer Coordination
- Maintain professional communication with customers.
- Inform office immediately about:
- Customer refusal
- Shortage
- Damaged material
- Wrong PO
- Appointment issues
- Waiting time
- Delivery delays
- Do not leave material at a customer without proper authorization.
6. Collection / Payment Coordination
If applicable:
- Collect cheques, cash or payment documents as instructed.
- Collect outstanding documents from customers.
- Hand over collections to the office/accounts department on the same day.
- Never retain customer collections unnecessarily.
7. Vehicle & Driver Coordination
The Delivery Executive should coordinate with the driver regarding:
- Daily route
- Delivery sequence
- Vehicle loading
- Parking/access requirements
- Fuel and basic vehicle issues
- Delivery timing
The driver should primarily be responsible for secure driving and vehicle operation, while the Delivery Executive owns the delivery process.
8. Return Material
- Check returned material against the return instructions.
- Obtain proper return documentation.
- Ensure returned goods are safely loaded.
- Inform the office about the reason for return.
- Submit returned material to the designated warehouse/person.
9. Daily Reporting
At the end of every day, submit:
- Deliveries completed
- Deliveries pending
- Failed deliveries and reasons
- POD status
- Collections received
- Returns received
- Customer complaints/issues
- KM travelled
- Vehicle issues
- Any unusual expenses
