Sharplog Solutions is a rapidly growing full-solution logistics company in its 5th year of operations, providing integrated freight forwarding, customs clearance, warehousing, transportation and logistics solutions across India.

We are part of the prestigious WCA Network, members of FFFAI, an MTO, and operate with FMC-registered Bill of Lading capability. With offices and operations across Delhi-NCR, Jaipur, Jodhpur, Mundra, Gandhidham and Chennai, we handle international logistics requirements for customers across India.

As we continue to expand, we are looking for a young, energetic and highly responsible professional to join our team as Specialist – Customer Services – Ocean Freight Management.

Role Overview The position requires an individual who can take complete ownership of customer shipments and the applicable SOP, from receipt of pricing and booking instructions through execution, documentation, billing and final shipment closure.

The successful candidate will be expected to work closely with the Business Development/Pricing, Documentation, Accounts, CHA, Transporters, CFSs, Shipping Lines, NVOCCs and overseas agents, while keeping the customer continuously informed.

This is a high-ownership operational role. The candidate must be capable of anticipating potential operational challenges, identifying risks in advance and taking proactive corrective action rather than merely reacting to problems after they occur.

Key Responsibilities

1. Ocean Export Shipment Execution

- Receive buy and sell rates and commercial instructions from the Business Development/Pricing team.
- Understand the customer’s shipment requirements, cargo readiness and stuffing timelines.
- Place bookings with Shipping Lines / NVOCCs after carefully evaluating vessel schedules, transit times, equipment availability and relevant cut-offs.
- Coordinate and monitor:

– Empty container release and pick-up

– Container positioning

– Stuffing / factory loading

– Carting and CFS operations

– Customs clearance

– Transportation to port/terminal

– Port and terminal cut-offs

– Container handover to the Shipping Line

- Ensure that shipments are executed strictly in accordance with the customer’s SOP, agreed timelines and Incoterms.

2. Customer Coordination & Account Ownership

- Act as the single point of operational ownership for assigned customer accounts.
- Understand the customer’s SOPs, documentation requirements, cut-offs and specific operational expectations.
- Maintain regular communication with customers throughout the shipment lifecycle.
- Provide timely DSRs / shipment status updates.
- Proactively advise customers of any anticipated delays, operational issues or changes in vessel schedules.
- In the event of delays or circumstances beyond Sharplog’s control, immediately put the relevant customer, vendor and other stakeholders on notice, particularly where additional financial costs may arise.
- Ensure that customers receive timely and accurate information rather than having to follow up repeatedly for shipment status.

3. Documentation Coordination





Work closely with the Documentation Team to ensure timely and accurate:

- Shipping Instructions (SI)
- Draft Bill of Lading verification
- Bill of Lading amendments, wherever required
- Release of Original / Telex / Express Bills of Lading, as applicable
- Pre-alert documentation
- Shipment documentation required by destination offices and agents
- Sharing of released Bills of Lading and relevant documents with customers

4. Vendor & Stakeholder Coordination

Effectively coordinate with

- Shipping Lines
- NVOCCs
- Overseas agents
- CHAs / Customs Brokers
- Transporters
- CFSs
- Container yards
- Surveyors and other operational vendors The candidate should preferably have strong working relationships and industry contacts with Shipping Line personnel, transporters, CHAs, CFSs and other logistics service providers.

5. Destination & Incoterm Coordination

- Coordinate with destination offices / overseas agents for smooth shipment handover.
- Follow up with destination agents and Shipping Lines for shipments moving under various Incoterms.
- Ensure that responsibilities of Sharplog, the shipper, consignee, destination agent and other parties are clearly understood and executed.
- Proactively resolve operational issues that could affect delivery, cost or customer service.

6. Equipment & Cargo Knowledge The candidate should have practical knowledge of handling different types of equipment and cargo, including:

- 20’ GP
- 40’ GP / HC
- Open Top
- Flat Rack (FR)
- Reefer Containers
- OOG / Project Cargo, where applicable
- LCL / Consolidated Cargo The candidate should understand the operational requirements, equipment availability, cut-offs and documentation implications associated with different types of shipments.

7. Accounts, Vendor Invoices & Customer Billing

- Coordinate with the Accounts Department for timely payment of Shipping Line, NVOCC and vendor charges.
- Ensure all vendor invoices are received, checked and booked in the ERP on time.
- Verify vendor charges against agreed buy rates and quotations.
- Ensure that all applicable customer charges are accurately captured and billed within the agreed timelines.
- Coordinate with Accounts for timely customer invoicing and resolution of billing discrepancies.
- Maintain accurate buy/sell records for every shipment.

8. ERP & MIS

- Enter and maintain accurate Buy and Sell details in the ERP.
- Upload all relevant shipment documents into the ERP.
- Ensure shipment milestones are updated promptly and accurately.
- Generate and circulate DSRs / shipment status reports.
- Maintain complete shipment records in accordance with customer and company SOPs.
- Ensure that shipments are properly closed in the system after completion.

Ownership & Accountability The most key requirement for this position is a very high sense of ownership.

“This is my shipment, this is my customer and I am responsible for ensuring its smooth execution.”

The successful candidate should

- Take 100% operational responsibility for assigned shipments.
- Anticipate operational problems before they occur.
- Identify potential delays, equipment shortages, documentation issues, cut-off risks and cost implications in advance.
- Take proactive corrective action rather than waiting for instructions.
- Escalate critical issues immediately.
- Keep customers informed before an issue becomes a complaint.
- Ensure that no shipment is left unattended or without a clear next action.
- Maintain complete visibility of every shipment under his/her responsibility.
- Follow through on issues until they are completely resolved.

Required Skills & Experience

Essential

- 3–7 years of relevant experience in Ocean Freight Forwarding / NVOCC / Freight Forwarding / Shipping Operations.
- Strong practical knowledge of Ocean Export shipment execution.
- Good understanding of Shipping Line and NVOCC booking procedures.
- Knowledge of container equipment, vessel schedules and port/CFS cut-offs.
- Experience coordinating with Shipping Lines, CHAs, transporters and CFSs.
- Good understanding of shipping documentation and Bills of Lading.
- Good knowledge of Incoterms and their operational implications.
- Strong customer communication and coordination skills.
- Good command of MS Office and operational ERP systems.
- Strong follow-up and problem-solving ability.
- Ability to work under pressure and manage multiple shipments simultaneously.
