Position Title: Executive / Senior Executive – Supply Chain & Vendor Management

Location: Pune, Maharashtra

Employment Type: Full-Time | In office

Department: Projects & Operations

Reporting To: Operations & Commercial Manager / Head of Projects & Operations

About the Role

We are a fast-growing Battery Energy Storage System (BESS) Integration company delivering grid-scale and commercial energy storage solutions. We are seeking a result-oriented Supply Chain & Vendor Management Executive based in Pune to lead end-to-end procurement, international imports, vendor performance, compliance auditing, and logistics for critical electrical and BESS infrastructure components (containers, PCS inverters, transformers, switchgear, and BMS modules).

Key Roles & Responsibilities

1. Strategic Procurement & SCM

- Source, evaluate, and procure high-voltage (HV/MV) electrical equipment, power transformers, switchgear, balance of plant (BOP) items, and BESS hardware components.
- Prepare Requests for Quotations (RFQs), execute technical and commercial bid evaluations (TBE/CBE), lead price negotiations, and issue Purchase Orders (POs) aligned with project budgets.
- Track long-lead items and coordinate inventory flows to ensure zero delays in site delivery.

2. Vendor Onboarding, Compliance & Certification Audit

- Evaluate and onboard domestic and international suppliers, ensuring full compliance with mandatory product-level safety and grid standards:
- IEC/UL/IS/UN compliance and standards: Battery & Module Certifications, Inverter & Grid Compliance, System Safety & Enclosure Testing, Fire safety and ingress protection related.




- Audit vendor Quality Management Systems (QMS) against applicable Tender/Requirements standards.

3. Imports, Customs & Logistics Operations

- Oversee international freight forwarding, customs clearance, port handling, and inland transportation for imported hardware (LFP cells, liquid cooling units, PCS inverters).
- Manage import documentation, including Letters of Credit (LC), Bills of Lading (BL), Commercial Invoices, Packing Lists, Duty Exemptions, and Certificates of Origin (COO).
- Coordinate with Customs House Agents (CHA), freight forwarders, and transport partners to eliminate port demurrage and storage penalties.

4. Document Control & Audit Record Keeping

- Establish a centralized vendor database containing NDAs, Master Service Agreements (MSAs), pre-qualification scorecards, and statutory tax/compliance registrations (GST, IEC).
- Maintain audit-ready project repositories for:
- Material Quality Records: Mill Test Certificates (MTC), Certificates of Analysis (CoA), and Factory Acceptance Testing (FAT) inspection reports.
- Import & Financial Papers: Bills of Entry, Customs Duty receipts, Marine Insurance policies, and Performance/Advance Bank Guarantees (PBG/ABG).

5. Project Coordination & Vendor Management





- Work alongside Electrical Design and Project Engineers to align procurement with Approved-for-Construction (AFC) drawings and site execution schedules.
- Monitor vendor performance across Quality, Cost, Delivery, and Service (QCDS) parameters, managing milestone payments and warranty tracking.

Candidate Requirements & Eligibility

Mandatory Criteria

- Education: Bachelor’s Degree in Engineering (B.E. / B.Tech in Electrical, Mechanical, Electronics, or Production Engineering).
- Experience: Minimum 5 years of core experience in supply chain management, procurement, and vendor handling.
- Industry Background: Direct hands-on experience in PV/Wind EPC firms, Electrical Equipment Manufacturing companies, or Substation/SCADA.

Technical & Functional Competencies

- Electrical Domain Knowledge: Familiarity with high-voltage (HV/MV) equipment, transformers, switchgear, cabling, and substation BOP.
- Import & Customs Expertise: Practical knowledge of international shipping logistics, INCOTERMS 2020, customs clearance workflows, and import documentation.
- ERP & Software Skills: Proficient in ERP systems (SAP, MS Dynamics, Tally, or Zoho Books), MS Excel, and project scheduling tools.

Preferred / Plus Points

- Understanding of BESS components, Substation level components, LFP battery chemistries, or solar/industrial modules/inverter systems.
- Vendor-Side Experience: Prior background working directly on the OEM/vendor side in account management, sales, or technical supply chain is a distinct advantage.
