Job Summary

We are looking for a detail-oriented and organized person to manage document filing and track PODs (Proof of Delivery) for sales invoices. The role involves maintaining proper records, coordinating with internal teams and courier/logistics partners, and ensuring all required documents are available and updated.

Key Responsibilities

- Maintain and organize physical and digital documents properly.
- File sales invoices and related documents systematically.
- Track PODs (Proof of Delivery) against sales invoices.
- Follow up with logistics/courier partners for pending PODs.
- Coordinate with the Sales, Accounts, Warehouse, and Dispatch teams for document requirements.
- Update POD and invoice tracking records on a regular basis.
- Identify and follow up on missing or pending documents.
- Maintain accurate records for audit and internal verification.




- Scan and upload documents in the respective folders/system.
- Ensure documents are easily accessible whenever required.
- Prepare regular status reports for pending invoices and PODs.
- Support the Accounts team in resolving invoice/document-related queries.
- Perform other documentation and administrative tasks as assigned.

Required Skills
- Good knowledge of MS Excel and MS Office.
- Good documentation and filing skills.
- Solid attention to detail.
- Good follow-up and coordination skills.
- Basic understanding of sales invoices and delivery documents.
- Good communication skills.
- Ability to maintain records accurately and systematically.

Experience & Qualification
- Qualification: Graduate in any discipline.
- Experience: 13 years in documentation, back-office, sales coordination, accounts support, or a similar role.
- Experience in invoice/POD tracking will be an added advantage.
