Job Summary The Tattva Corporate Office, Dehradun, is looking for an experienced, organized, and commercially sound Purchase Manager to manage procurement activities for the company's hotels, resorts, and corporate office.
The Purchase Manager will be responsible for vendor development, sourcing, quotation comparison, rate negotiation, purchase planning, cost control, quality management, timely procurement, and maintaining strong supplier relationships.
The candidate will be required to coordinate with the various Tattva properties and, whenever required by the Management, personally visit the properties for procurement-related inspections, stock verification, vendor coordination, operational requirements, and other official assignments.
Key ResponsibilitiesProcurement & Purchasing
- Manage the complete purchase cycle from requirement generation to final delivery.
- Source and procure food & beverage items, housekeeping supplies, guest amenities, engineering materials, office supplies, stationery, linen, uniforms, and other hotel-related requirements.
- Obtain quotations from multiple vendors and conduct comparative analysis before purchase.
- Negotiate prices, credit terms, delivery schedules, quality standards, and other commercial terms.
- Ensure procurement is carried out at competitive market rates without compromising quality.
- Coordinate with individual properties and departments to understand their purchase requirements.
- Ensure timely procurement and delivery of materials as per operational requirements.
- Maintain proper purchase documentation, including purchase requests, quotations, comparative statements, purchase orders, invoices, and vendor records.
- Ensure all purchases are made in accordance with company-approved procedures and authorization limits.
Vendor Management
- Identify, evaluate, and develop reliable suppliers and service providers.
- Maintain a comprehensive and updated vendor database.
- Negotiate with existing and new vendors for better pricing and commercial terms.
- Monitor vendor performance in terms of quality, pricing, delivery timelines, and service.
- Conduct periodic vendor evaluations and recommend changes wherever required.
- Develop alternative vendors for critical and high-value items to ensure uninterrupted supply.
- Maintain professional and transparent relationships with suppliers.
Cost Control
- Monitor market prices and identify opportunities for cost savings.
- Conduct regular price comparisons for frequently purchased items.
- Negotiate annual, seasonal, or bulk purchase rates wherever commercially beneficial.
- Identify opportunities for bulk procurement and centralized purchasing.
- Prevent unnecessary purchases, wastage, overstocking, and duplicate procurement.
- Coordinate with Accounts and management regarding vendor payments, outstanding balances, and commercial discrepancies.
- Ensure proper documentation and approval before placing purchase orders.
Inventory & Stock Coordination
- Coordinate with property stores and department heads to monitor stock requirements.
- Ensure procurement is based on actual consumption, approved requirements, and stock levels.
- Monitor fast-moving, slow-moving, and critical inventory items.
- Coordinate with property teams to avoid stock-outs of essential operational materials.
- Assist in identifying excess, obsolete, or slow-moving stock.
- Support periodic physical stock verification whenever required.
- Ensure discrepancies between ordered, received, and invoiced quantities are identified and resolved.
Property Visits & Travel Requirement The Purchase Manager will be based at the Tattva Corporate Office, Dehradun but will be required to travel to and personally visit Tattva properties whenever required by the Management.
Such visits may include
- Physical verification of stock and inventory.
- Inspection of purchase requirements.
- Verification of material quality and specifications.
- Coordination with property General Managers, department heads, and store teams.
- Vendor meetings and local market surveys.
- Price verification and market comparison.
- Review of procurement procedures and property-level requirements.
- Supporting urgent procurement requirements.
- Any other official assignment directed by Management.
The candidate should therefore be comfortable with regular official travel and property visits as and when required by the Management.
Coordination with Tattva Properties
- Maintain regular communication with the General Managers, Department Heads, Store Managers, and concerned staff at all Tattva properties.
- Consolidate requirements wherever possible for better commercial negotiation.
- Coordinate centralized procurement for commonly required items.
- Ensure property requirements are addressed within agreed timelines.
- Follow up on pending purchase requirements and deliveries.
- Escalate critical procurement issues to Management promptly.
Candidate Requirements
- 3–6 years of relevant experience in Purchase/Procurement, preferably in hotels, resorts, hospitality, restaurants, FMCG, or similar industries.
- Strong knowledge of hotel procurement and operational requirements.
- Good understanding of food, beverage, housekeeping, engineering, guest supplies,
stationery, and general hotel procurement.
- Solid negotiation and vendor-management skills.
- Valuable knowledge of local and regional supplier markets.
- Ability to compare quotations and prepare comparative statements.
- Strong commercial and analytical skills.
- Good knowledge of MS Excel, MS Office, email, and procurement/accounting software.
- Strong documentation and record-keeping skills.
- Honest, disciplined, organized, and detail-oriented.
- Ability to work under pressure and manage urgent procurement requirements.
- Strong communication and coordination skills.
- Willingness to travel to Tattva properties whenever required by Management.
- Candidates with prior experience in a multi-property hotel/resort environment will be preferred.
Qualification Minimum: Graduate preferred.
A degree/diploma in Hotel Management, Supply Chain Management, Business Administration, Procurement, or a related field will be an advantage.
Relevant industry experience may be considered in lieu of formal qualifications.
