Position: Purchase (Manager / Executive)

Location: Patiala, Punjab

1. Role Purpose The Purchase (Manager / Executive) will be responsible for procurement planning, vendor coordination, material sourcing, cost optimization, and ensuring timely availability of materials for Rooftop and C&I; Solar Projects. The role ensures smooth supply chain operations, budget control, and compliance with company procurement policies.

The level of responsibility shall vary based on designation (Manager or Executive), experience, and organizational structure.

2. Key Responsibilities

- Understand project BOQ and material requirements.
- Plan procurement schedule aligned with project timelines.
- Coordinate with Project, Design, and Site teams for material planning.
- Ensure uninterrupted material supply to avoid site delays.
- Identify and evaluate vendors for solar modules, inverters, structures, cables, BOS, and civil materials.
- Obtain quotations and prepare comparative statements.
- Negotiate pricing, payment terms, and delivery schedules.
- Develop alternate vendor base to reduce dependency risk.
- Maintain vendor database and performance evaluation.

(Manager level will handle strategic negotiations & vendor finalization; Executive level will handle RFQ circulation & follow-ups.)

- Prepare and issue Purchase Orders (PO) as per approval matrix.
- Track order status and ensure timely dispatch.
- Coordinate logistics and delivery to site.
- Monitor short supply, damaged material,



and replacements.
- Ensure procurement within approved project budget.
- Maintain cost comparison records.
- Achieve cost savings through negotiation and bulk buying.
- Avoid emergency procurement and premium purchases.

(Manager level responsible for cost strategy & savings targets; Executive level responsible for accurate execution.)

- Maintain purchase register and procurement tracker.
- Verify invoices against PO and GRN.
- Ensure GST compliance and proper documentation.
- Coordinate with Finance for payment processing as per agreed terms.
- Monitor stock levels and reorder points.
- Coordinate with warehouse for inward and outward entries.
- Prevent overstocking and material wastage.
- Maintain minimum inventory for critical items.

3. Educational Qualification

- Graduate (B.Com / BBA / B.Tech preferred)
- MBA in Supply Chain / Operations (Preferred for Manager role)

4. Experience Required

- Executive: 14 years in procurement
- Manager: 5–10 years in procurement (Solar / Electrical / EPC preferred)

5. Technical Skills

- Knowledge of Solar EPC materials and components.
- Solid negotiation and vendor management skills.
- Comparative statement preparation.
- Advanced MS Excel.
- ERP / Procurement software knowledge.

- On-time material availability.
- Procurement cost savings.
- Vendor performance rating.
- Reduction in emergency purchases.
- Accuracy in documentation.
