The Program Coordinator – Essay will support the smooth academic and operational delivery of Essay classes, handouts, test series, test discussions, and related academic content. The role requires strong coordination skills, attention to detail, timely follow-ups, and effective communication with faculty, contributors, Camera, LMS, Documentation, Printing, and HR teams.
The Program Coordinator will act as the key coordination point for ensuring that all academic requirements are completed within the defined timelines.
Key Responsibilities1. Class Coordination
- Coordinate and ensure timely scheduling of Essay classes.
- Share the final class schedule with the Camera Team sufficiently before each class.
- For online classes, ensure Zoom details are shared with all concerned stakeholders before the class.
- Join online sessions at the beginning of the class, coordinate with the Camera Team, assign hosting rights to the faculty, and ensure that the session starts smoothly.
- Coordinate with the LMS Team for uploading relevant handouts before the scheduled class.
- Ensure handouts are sent for printing one day prior to the class, as applicable.
- Ensure that academic material and other class-related requirements are ready before the class day.
- Escalate any scheduling, technical, or material-related issue sufficiently in advance.
2. Handout Management
- Maintain and manage Essay handouts available in the designated Google Drive.
- Identify and select the appropriate handout according to the theme/topic of the scheduled class.
- Conduct a thorough content/sanity check of the relevant synoptic handout, particularly the lowest-numbered handout, to ensure that it does not contain additional or unrelated topics.
- Coordinate necessary updates or corrections in handouts.
- Save the final updated version in the designated folder for the current academic year for future reference.
- Coordinate with the Documentation Teami for formatting and documentation wherever required.
- Share final handouts with:
- LMS Team for portal upload
- Documentation Team for formatting
- Printer for physical copies
- Maintain proper version control so that only the latest approved material is circulated.
3. Essay Test Series Coordination
- Track the complete Essay Test Series calendar and associated deadlines.
- Ensure test topics are shared with contributors at least 10 days before the scheduled test date.
- Track topics and contributor allotments through the designated shared sheet.
- Once topics are approved for allotment, assign them to the contributors identified in the sheet.
- Create and maintain a separate folder for each test with properly organised contributor-wise working files/sheets.
- Communicate a standard deadline of 2 days per allotted topic to contributors.
- Follow up proactively with contributors to ensure timely submission.
4. Test Paper Review & Finalisation On receiving content/test papers from contributors:
- Check whether all expected submissions have been received.
- Share the relevant Drive link/file with the designated reviewer.
- Track the review process and follow up until completion.
- Ensure reviewed Question Papers (QP) and Solutions are sent to the Documentation Team/Raju Ji for final formatting.
- Maintain a record of individual contributor work for invoicing purposes.
- Coordinate the final files with the LMS Team for portal upload.
- Coordinate with Raju Ji to ensure clarity regarding ownership of final file circulation and upload.
- Ensure the final test paper reaches the printer a day before, wherever applicable.
- Track all test-related deadlines proactively rather than waiting for reminders.
5. MGP FLT / EGP Test Coordination
- Track HLT 1 and HLT 2 timelines in relation to MGP FLT dates.
- Ensure Question Papers and Solutions are completed and shared for formatting/printing before the corresponding MGP test date.
- Coordinate timelines so that EGP tests and solutions can be uploaded sufficiently in advance.
- Flag any anticipated delay immediately to the concerned faculty.
6. Test Discussion Coordination
- Track whether a discussion session has been scheduled for every applicable test.
- Remind the faculty if a test discussion has not yet been scheduled.
- Coordinate the test discussion schedule with the concerned teams.
- Ensure the required PPT/material is shared with the Camera Team before the discussion.
- Support the faculty in ensuring smooth conduct of the discussion session.
7. Contributor Coordination & Invoicing Maintain accurate monthly records of academic work undertaken by contributors, including:
- Test solution/content preparation
- Handout updates
- Test paper/content reviews
- Any other approved academic contribution
At the end of every month, consolidate the contributor-wise work details and share the same with HR for invoice processing. 8. Coordination & Communication The Program Coordinator will regularly coordinate with:
Faculty: Academic planning, classes, topics, reviews and discussionsCamera Team: Classes, Zoom sessions, recordings and PPTsLMS Team: Handout, test and solution uploadsDocumentation Team: Formatting and finalisation of academic materialPrinter: Timely printing of handouts and test papersContributors/Reviewers: Content creation, deadlines and reviewsHR: Monthly contributor work details and invoicing
All key communication, submissions and deadlines should be properly documented through email/shared sheets/Drive wherever applicable.
Priority Areas The Program Coordinator is expected to prioritise:
Class Readiness → Handout Readiness → Test Readiness → Review & Documentation → LMS/Printing → Contributor Records
Particular attention must be given to ensuring that:
- Classes are scheduled on time.
- Handouts are uploaded and sent for printing before the class.
- Test topics are allotted sufficiently in advance.
- Contributor deadlines are followed up proactively.
- Test papers and solutions are reviewed, formatted and printed within timelines.
- No academic deliverable is delayed due to lack of follow-up or coordination.

Pay: ₹20,000.00 - ₹30,000.00 per year
