We are looking to hire an HR Coordinator who will be responsible for supporting the Director with day-to-day HR operations, documentation, coordination, and client delivery. You keep HR activities organized, deadlines visible, follow-ups moving, and documentation accurate so the Director and the wider team can stay focused on higher-value work.
This is an execution-heavy role covering both Black & Grey’s internal HR operations and the delivery of Managed HR Services to multiple clients.
What you'll own
- Coordinating day-to-day HR activities for Black & Grey and Managed HR Services clients
- Maintaining accurate, confidential employee records, HR files, databases, and client documentation
- Keeping the HR document library organized with clear filing, naming, and version control
- Building and maintaining HR templates, forms, letters, checklists, trackers, SOPs, and standard documentation
- Supporting recruitment from job postings and CV screening through interview scheduling, candidate communication, follow-ups, and recruitment tracking
- Coordinating employee lifecycle activities including onboarding, documentation, attendance, leave, probation, renewals, payroll inputs, and offboarding
- Supporting the drafting, updating, and implementation of HR policies, procedures, SOPs, workflows, and RACI matrices
- Coordinating performance management and other HR cycles, including meetings, documentation, trackers, follow-ups, and action completion
- Tracking tasks, deadlines, client deliverables, and outstanding actions so nothing slips
- Following up proactively with employees, managers, candidates, clients, and other stakeholders
- Preparing HR dashboards, trackers,
management reports, and basic HR research
- Coordinating approved employee, client, and business communications, ensuring accuracy and timely distribution to relevant stakeholders
- Providing regular, proactive progress updates to the Director, including what is completed, what is pending, upcoming deadlines, dependencies, and any issues requiring escalation
- Flagging delays, dependencies, risks, documentation gaps, and process issues before they become bigger problems
- Providing administrative and coordination support across HR projects, client assignments, and other business requirements
- Handling confidential employee, client, and company information with complete discretion
Responsibilities and priorities may evolve based on business and client requirements.
Remote Working Expectations
This is a full-time remote role, not a freelance, part-time, or flexible-hours position. You are expected to be available and responsive during agreed working hours and to attend scheduled team, client, and internal meetings.
Remote working requires a high degree of trust, accountability, responsiveness, and ownership. You should be able to manage your workload independently, communicate progress clearly, meet agreed deadlines, and raise issues early rather than waiting for follow-up.

You will have the opportunity to work across varied HR requirements, processes, and client environments while developing broader practical experience in HR operations, people advisory, and outsourced HR delivery.
What you bring
- 2–4 years of experience in HR coordination,
HR operations, or a similar execution-focused role
- Strong organization and relentless follow-through
- Ability to take ownership of tasks from start to completion without constant reminders
- Robust written and spoken English with clean, professional communication
- Comfortable managing multiple priorities, deadlines, and stakeholders at the same time
- High attention to detail, particularly with documentation, records, and HR data
- Ability to proofread documents and communications carefully before distribution
- Comfortable working independently in a fully remote environment
- Strong sense of accountability, responsiveness, and reliability
- Ability to handle confidential employee and client information with discretion
- Comfortable working with HR documentation, trackers, spreadsheets, and business tools
- Proficiency in Microsoft Excel, Word, and PowerPoint
- Ability to communicate progress clearly rather than waiting to be asked for updates
- Comfortable receiving feedback and revising work when required
- Ability to work within defined processes, accountability structures, and RACI frameworks
- Willingness to learn and work across different client requirements, industries, and HR processes
Added advantages
- Experience with Power BI and/or AI tools for reporting, analysis, documentation, or productivity
- Knowledge of HR systems / HRIS platforms, including Zoho
- Experience with UAE/GCC HR practices or working with organisations in the GCC
- Experience in outsourced HR, HR consulting, managed HR services, or a client services environment
- Exposure to working across multiple organisations or clients simultaneously
What success looks like
- HR tasks are completed on time, employee and client records are accurate and organized, documentation is easy to find, follow-ups don't get lost, recruitment and employee lifecycle activities move smoothly, and the Director always has clear visibility on what's done, what's pending, what's overdue, what's coming up, and what needs attention next.
