Job Summary

Position title and grade: Field Coordinator - Admin and Finance (Grade-4)

Type/Duration: Fixed-Term (Two years with possibility of extension subject to organizational needs, satisfactory performance, and funds availability)

Position location: Bhubaneswar, Odisha

Work schedule: Monday to Friday, 9:00 AM to 5:00 PM, 40 hours per week

Telework eligible: No

Reports to: Specialist, State Program Partnership-Odisha

Position role

Field Coordinator, Admin and Finance will be responsible for handling all admin and finance related tasks for the assigned location/s, such as - managing procurement, vendor management, handling day-to-day bookkeeping and accounting, handling office expenses, managing cash flow, support in preparing financial reports, etc. in line with internal policies and statutory requirements.

Safeguarding

Remain alert and responsive to any safeguarding risks; acquire and maintain the relevant knowledge and skills necessary to promote strong safeguarding practices; understand and adhere to ChildFund India's Safeguarding Policy and Procedures; and conduct yourself at all times in a manner consistent with ChildFund India's safeguarding principles and standards.

Primary Responsibilities

- Ensure proper and effective implementation of admin and finance activities.
- Verify and finalize bills/ vouchers for payments.
- Update the records on day to day basis in the accounting application.
- Prepare fund projections and fund requests for implementation of different activities with support from Filed officer, Programs.
- Prepare a financial statement on expenses against funds received every month and share it with the Finance team monthly.
- Provide technical assistance to the office employees on personnel policies, purchase, record keeping, risk management and contract administration.
- Provide administrative support to the field team, including travel arrangements, support in conducting meetings, arranging field visits, facilities management, etc.
- Handle vendor management for equipment, supplies, printing services, and maintenance of equipment under established guidelines.
- Responsible for providing remuneration details of the field team to HR and finance teams monthly.
- Work closely with the Admin, HR,



and Finance team in the zonal/cluster office as well as in the country Office, for the support required.
- Any other responsibility as assigned by the Line Manager.

Minimum qualifications

- Education: Bachelor's in Finance/ Commerce /Accounts preferred.
- Work Experience: Minimum 2 years of experience in accounting and administration. Working experience with NGOs is a must.
- Language Proficiency: Fluency in English both verbal and written, is preferred.
- Skills and Abilities: Strong computer skills, with familiarity in using Microsoft Office suite applications. Organised, team player, self-starter and results-oriented individual. Be gender sensitive with strong conviction and skills for the empowerment of excluded and disadvantaged children.
- Job Knowledge: Knowledge of Tally and other accounting software. Excellent presentation, public speaking, and interpersonal skills.

Evaluation and Selection Criteria

Step 1: HR Pre-Screening:



All Job Applications received will be collated by HR and preliminary screening will be conducted based on the minimum education and experience requirements mentioned above. The Applicants that do not meet the education and experience criteria will not be considered further for the selection process. All the qualified applications will be handed over by HR to the Selection Panel. Step 2: Qualified applications will be further reviewed by the Selection Panel. The Selection Panel will assess and rank all the applications based on the following factors for a maximum of 100 points:

- Job Knowledge 40 points
- Work Experience 40 points
- Digital literacy tool proficiency 20 points

Step 3: Based on the written test assessment (If or as required), applications will be further shortlisted for Step 3 i.e. Interview. The applications will be evaluated by the Selection Panel for the final selection, based on the following evaluation factors for a maximum of 100 points.

- Technical knowledge and Applied skills 25 points

- Work Experience 25 points
- Teamwork Interpersonal Collaboration 15 points
- Problem Solving and Critical Thinking 15 points

- Communication Skills 10 points
- Organizational and Cultural Alignment 10 points
