Job Summary
Gavins is seeking a highly organized, proactive, and reliable Executive Assistant to support the Managing Director.
The role requires a dedicated qualified who can effectively manage executive schedules, communication, task tracking, research, and administrative coordination. The ideal candidate will demonstrate a stable professional history, strong follow-up skills, high integrity, discretion, and the ability to work independently in a fast-paced office environment.
Key Responsibilities
- Calendar Management: Manage the Managing Director’s daily schedule, including meetings, appointments, and professional commitments.
- Communication: Handle incoming emails and calls on behalf of the MD and coordinate with internal teams and external clients.
- Task Tracking: Maintain detailed Excel-based reports, trackers, and follow-up sheets to monitor commitments and deliverables across departments.
- Research & Decision Support: Conduct comprehensive internet research, organize relevant information, and provide data-driven insights to support executive decision-making.
- Administrative Support: Handle official and personal coordination tasks as required to ensure the MD’s schedule and priorities run efficiently.
- Follow-up & Coordination: Proactively follow up with stakeholders, monitor pending actions, and ensure timely closure of assigned tasks.
Candidate Requirements
- Experience: 3–5 years of experience in an Executive Assistant, Secretary, Coordinator, or similar role.
- Education: Graduate in any discipline.
- Technical Skills: Strong working knowledge of MS Excel and MS Word. Proficiency in shorthand or rapid note-taking is preferred.
- Communication: Excellent English communication skills, both written and verbal.
- Professionalism: Strong organizational and follow-up skills, high integrity, discretion, reliability, and a proactive problem-solving attitude.
- Flexibility: Willingness to work according to the Managing Director’s schedule and adapt to changing priorities.
Work Details & Benefits
- Working Hours: Full-time; timings may vary based on the Managing Director’s schedule, requiring flexibility.
- Work Arrangement: Full-time, in-person office role.
- Travel: No travel requirements.
Pay: ₹20,000.00 - ₹40,000.00 per month
