Job Overview:

We are looking for a dependable and experienced professional to support the CEO (Managing Partner) in an Executive Assistant capacity, while also leading the Administration function for the Delhi centre of AMPYR GTC. This is a dual-role position requiring strong organizational skills, attention to detail, and the ability to manage multiple responsibilities efficiently.

As Executive Assistant, the individual will manage the CEOs calendar, meetings, travel, and provide reliable support with scheduling, documentation, and coordination. The role requires a high level of discretion, responsiveness, and professionalism in interacting with internal and external stakeholders.

In parallel, the individual will oversee day-to-day administrative operations of the Delhi centre — including office management, travel and logistics, vendor coordination, and workplace facilities — supported by an admin team member. A key initial responsibility will be to manage the setup of a new office location in New Delhi.

The role will also involve regular coordination with global teams across AMPYR’s offices across the world, and the Group HQ in Singapore, both in the capacity of Executive Assistant as well as administration lead.

This position is best suited for someone who is organized, proactive, and comfortable operating in a dynamic, multi-time-zone environment.

Key Responsibilities:

1. Executive Office Management

- Manage and optimize the CEO’s calendar, travel plans, meetings, and appointments across time zones
- Manage the CEO’s priorities, ensuring alignment with monthly priorities.
- Drive agenda setting, preparation, and follow-up for executive meetings, board meetings, and global reviews.
- Prepare executive-level presentations, briefs, and communication notes
- Act as a liaison between the CEO and internal/external stakeholders to ensure seamless communication

2. Strategic Planning & Execution

- Support the CEO in defining, communicating,



and executing company-wide strategic initiatives.
- Translate high-level business goals into actionable plans, timelines, and KPIs.
- Track progress of strategic projects and provide pulse checks, risk assessments, and recommendations.

3. Cross-Functional Coordination

- Facilitate collaboration between global business units, functional leaders, and regional teams.
- Ensure smooth flow of information between departments to support effective decision-making.
- Resolve operational bottlenecks by partnering with relevant stakeholders.

4. Administration

- Lead and manage all administrative functions for the Delhi centre, ensuring seamless day-to-day operations.
- Take proactive ownership of workplace management — anticipating needs, planning ahead, and delivering timely, high-quality administrative support to create a productive and employee-friendly environment.
- Oversee all aspects of facility management, including office infrastructure, utilities, seating, and space utilization, to ensure smooth functioning and readiness at all times.
- Maintain high standards of workplace hygiene, cleanliness, and safety, working closely with housekeeping and service vendors.
- Ensure effective security arrangements are in place and regularly reviewed, including access control, visitor management, and coordination with security personnel.
- Manage vendor relationships for office supplies, pantry, equipment, and services — ensuring quality, timely delivery, and cost-effectiveness.
- Coordinate employee travel and logistics (flights, accommodations, transport, visas, etc.)



with a focus on convenience, accuracy, and policy adherence.
- Monitor and replenish office supplies and IT peripherals proactively, based on usage trends and upcoming requirements, rather than reactively.
- Build and maintain simple, effective SOPs and checklists for recurring admin processes to improve efficiency and consistency.
- Engage with employees regularly to understand their workplace needs and ensure administrative services contribute positively to their work experience.
- Collaborate with internal teams (Finance, HR, IT) and group-level functions (including HQ in Singapore) to ensure alignment, compliance, and continuity in operations.

5. Communication & Governance

- Ensure consistent communication aligned with the CEO’s vision and organizational culture.
- Support preparation of board reports, investor communication, and leadership updates.
- Establish governance frameworks for tracking critical initiatives and operational performance.

Required Qualifications:

- Bachelor’s degree in Business, Management, Engineering, or related field; MBA preferred.
- 12+ years of experience in strategy, consulting, operations roles.
- Experience in a global MNC environment is strongly preferred.
