Elevate is looking for a high-potential, enterprising individual to work closely with the VP of the IP Business Unit, providing executive support while progressively taking ownership of business operations, coordination and execution. This is not a traditional Executive Assistant role. The objective is to build a trusted extension of the VP's office - someone who can understand priorities, take ownership of outcomes, coordinate across teams, resolve issues independently and know when an issue requires the VP's attention.
Job Summary
Elevate is looking for a high-potential, enterprising individual to work closely with the VP of the IP Business Unit, providing executive support while progressively taking ownership of business operations, coordination and execution. The objective is to build a trusted extension of the VP's office - someone who can understand priorities, take ownership of outcomes, coordinate across teams, resolve issues independently and know when an issue requires the VP's attention.
Responsibilities
- Review and triage emails and other requests coming to the VP, identifying matters requiring attention, discussion, delegation or follow-up.
- Discuss relevant matters with the VP and draft responses based on the agreed approach. Maintain a structured tracker of commitments, decisions and follow-ups made by the VP.
- Ensure commitments and agreed actions are followed through to completion. Independently handle routine requests and communications within agreed authority.
- Develop a strong understanding of the VP's priorities, communication style and preferences and use this understanding to anticipate requirements.
- Establish and maintain a structured mechanism for collecting daily updates from IP teams. Track key developments including revenue, wins and losses, proposals, major projects, critical client matters, risks and other material business developments.
- Consolidate and validate inputs from business and functional leaders. Prepare a concise daily briefing for the VP highlighting key developments, issues requiring attention, risks, priorities and exceptions. Proactively follow up with leaders where information is incomplete, unclear or delayed.
- Develop sufficient business understanding to distinguish between routine updates and matters that require executive attention. Coordinate and initiate meetings once objectives and participants are established. Prepare agendas and ensure appropriate participants and information are available.
- Attend relevant meetings, capture decisions, action items, owners and timelines. Maintain action trackers and drive follow-through with stakeholders.
- Follow up directly with senior stakeholders and team members to ensure commitments are delivered. Identify delays or risks early and escalate appropriately. Ensure important decisions and commitments do not get lost after meetings.
- Act as a coordination point between the IP leadership team and support functions including Finance, HR, IT, Legal, Procurement and other functions. Take ownership of operational issues and work with the appropriate teams to drive them to resolution. Support managers reporting to the VP and their teams in navigating internal processes and resolving issues.
- Handle routine escalations independently without unnecessarily involving the VP. Identify the right stakeholders, determine the appropriate path to resolution and drive the issue through to closure.
- Escalate matters to the VP when executive judgment, intervention or a business decision is genuinely required. Coordinate weekly and monthly governance activities with IP business and functional leaders. Ensure timely completion of recurring reporting, invoicing and other business requirements.
- Validate information and inputs before they reach the VP. Maintain governance calendars, trackers and action logs. Follow up with business leaders to ensure commitments and recurring activities are completed on time. Identify opportunities to improve existing processes and operating mechanisms.
- Support key projects and initiatives initiated by the VP and IP leadership team. Establish milestones, owners and timelines in collaboration with stakeholders.
Maintain regular follow-ups and monitor progress against agreed timelines. Identify dependencies, risks and slippage early.
- Drive stakeholders toward completion and provide concise progress updates. Ensure projects continue moving forward without requiring the VP to personally manage the follow-up.
- Review and validate bills, leave requests and other approvals before routing them to the VP. Ensure appropriate information and documentation are available for approvals. Handle travel and other logistics for the VP when required. Coordinate other administrative requirements associated with the VP's role as needed.
- Independent Judgment Executive Partnership - A core expectation of this role is the ability to progressively operate as an extension of the VP's office.
Experience
- 4-7 years of professional experience; exceptional candidates with relevant experience outside traditional executive-assistant roles will also be considered.
- Experience in executive support, business operations, PMO, program management, sales operations, consulting, or a similar coordination-intensive role is relevant.
- Experience working with senior leaders and cross-functional teams is preferred.
