Job Title: Executive Assistant - CEO & CXO Office

Role:
The Executive Assistant is a full-time, on-site role based in Bengaluru, supporting the CEO and CXO Office of our reputed MNC client, and ensuring smooth executive and office operations.
Day-to-day responsibilities include managing dynamic calendars, coordinating across the CXO Office, and anticipating priorities before they become urgent - routine travel and admin logistics.
This position requires a sharp, adaptable professional, who can prioritise under pressure, exercise judgment with limited direction, and represent the organisation with professionalism.
Key Responsibilities:
- Manage calendars, meetings, appointments and schedules, including reminders and meeting coordination across international time zones and cultures . Anticipate scheduling conflicts and stakeholder needs, and proactively resolve them without waiting for instruction. Oversee MIS reporting and management information consolidation, using Advanced Excel where needed.
- Assist in preparing meeting notes, follow-up lists, status reports and other management-related documents. Maintain confidentiality of company and management information and demonstrate professional communication at all times.
- Excellent communication skills for handling correspondence, preparing reports,
and interacting with internal and external stakeholders.
- Coordinate domestic and international travel logistics.
Required skills & Competencies:
- A track record in fast-paced, high-coordination environments - calendar and stakeholder management, confidentiality, and sound judgment matter more than a traditional EA title.
- Proficiency in office software (e.g., MS Office suite, email and calendar tools); including formulas, data handling and MIS reporting.
- Strong attention to detail, time management, and organizational skills, with the ability to handle multiple tasks in a fast-paced environment.
- Valuable interpersonal skills.
- Positive attitude, willingness to learn and professional work ethic.
- Customer service skills to manage inquiries, support visitors, and represent the company professionally. [keep]
- Comfortable operating with ownership and limited day-to-day direction - able to make judgment calls and escalate only what genuinely needs escalating.
