Role Description
Position: Executive Assistant to Managing Partner / Partners
This is a full-time, on-site Executive Assistant role based in Mumbai, supporting the Managing Partner and senior members of the Firm in the day-to-day management of their professional responsibilities.
The Executive Assistant will be responsible for providing high-level executive, administrative and coordination support, including calendar and meeting management, client and internal coordination, preparation and maintenance of records, correspondence, travel arrangements, expense management, billing and invoicing, and ensuring timely follow-up on matters entrusted by the Partners.
The role will involve working closely with the Partners, lawyers, clients, consultants, accountants and other stakeholders of the Firm and will require a high degree of professionalism, confidentiality, organisation, ownership and attention to detail.
Key Responsibilities
- Managing and maintaining the calendars, schedules, meetings and appointments of the Managing Partner and Partners.
- Coordinating internal and external meetings with clients, advocates, counsels, consultants, financial institutions, insolvency professionals and other stakeholders.
- Assisting in scheduling hearings, conferences, client meetings and other professional engagements and maintaining an organised diary of important dates and commitments.
- Preparing and managing professional correspondence, emails, meeting notes, schedules and other administrative documents as required.
- Coordinating with the Firm’s lawyers and administrative team to ensure timely follow-up on tasks and instructions issued by the Partners.
- Maintaining confidential records, client information, documents and correspondence with appropriate discretion and sensitivity.
- Assisting with client billing, preparation and raising of invoices, including coordinating with the accounts team and lawyers for matter-wise billing details, fee arrangements, disbursements and supporting documents.
- Maintaining records of invoices raised, payments received, outstanding receivables and following up internally for timely billing and collections.
- Preparing and maintaining expense statements, reimbursement claims and expense reports for Partners and coordinating with the accounts team for processing.
- Assisting with preparation and maintenance of matter-related administrative records, client databases, contact lists and other Firm records.
- Coordinating travel, accommodation and other logistics for Partners, where required.
- Assisting with onboarding of new clients and maintaining relevant administrative and KYC documentation in coordination with the Firm’s team.
- Coordinating with external vendors, service providers, couriers, consultants and other professional service providers.
- Maintaining a structured system for tracking pending tasks, follow-ups, meetings, invoices and other administrative requirements.
- Handling sensitive and confidential information relating to clients, transactions, litigation, Firm affairs and Partners with the highest degree of discretion.
- Performing other executive and administrative responsibilities as may be assigned by the Managing Partner or Partners from time to time.
Qualifications & Skills
- Prior experience as an Executive Assistant, Personal Assistant, Legal Secretary or Executive/Administrative Coordinator, preferably in a law firm, professional services firm, corporate house, financial institution or similar environment.
- Experience working directly with Partners, senior management, lawyers, clients or other senior professionals will be preferred.
- Strong understanding of skilled office administration and executive support functions.
- Experience in client coordination, billing, invoicing, expense management and follow-ups.
- Excellent written and verbal communication skills, with the ability to draft and communicate professionally with clients and senior stakeholders.
- Strong organisational skills with the ability to manage multiple priorities, deadlines and requests simultaneously.
- High level of attention to detail and accuracy, particularly in relation to invoices, expense statements, schedules, client information and confidential documents.
- Proficiency in Microsoft Office / Google Workspace and familiarity with calendar, scheduling, document management and other office productivity tools.
- Ability to maintain strict confidentiality and exercise sound judgment while handling sensitive legal and commercial information.
- Professional demeanour, strong interpersonal skills and the ability to work in a fast-paced law-firm environment.
- Ability to take ownership of tasks, follow through on pending matters and work independently with minimal supervision.
- Bachelor’s degree or equivalent qualification/work experience preferred.
- Prior experience in a law firm, legal services organisation or professional services environment will be an advantage.
