Role Description

Role Focus: Client Experience • Community Management • Events • Center Coordination • CSAT • Retention • MIS &

Reporting

Sales Scope: This role is not a direct sales role and does not carry individual sales targets. The Community

Executive may coordinate with the Sales team where required for client visits, workspace requirements, renewals,

and center operations.

- Front Desk & Visitor Management
- Manage reception and visitor management, ensuring a professional and welcoming experience for clients, guests,

and prospects.
- Handle calls, emails, inquiries, and general communication efficiently.
- Coordinate visitor access, meeting room requirements, and day-to-day front-office activities.
- Client Relationship & Community Management
- Manage client coordination and provide day-to-day support to ensure a smooth client experience.
- Build solid client relationships through regular communication, engagement, and proactive support.
- Conduct regular client check-ins to understand requirements, identify concerns, and improve client satisfaction.
- Support client onboarding, documentation, induction, and exit coordination.
- Maintain strong relationships with key/VIP clients and support client retention and renewals.
- Identify opportunities for referrals and additional business from existing clients, without direct sales targets.
- Client Feedback & Complaint Management
- Collect and monitor regular client feedback and ensure timely resolution of concerns.




- Manage complaints and coordinate with concerned internal teams for effective and timely closure.
- Handle escalations professionally and maintain proper follow-up until resolution.
- Conduct monthly CSAT (Customer Satisfaction) surveys through Google Forms for all clients.
- Maintain a client-wise CSAT tracker in Excel, analyze feedback, identify recurring concerns, and submit a consolidated monthly report to the Center Head.
- Events & Community Engagement
- Plan and organize monthly community events, networking sessions, workshops, and engagement activities.
- Support identification and coordination of event opportunities through LinkedIn, social media, professional networks,

referrals, and other relevant channels.
- Coordinate with event organizers, brands, corporates, and partners for community and event activities.
- Coordinate end-to-end event requirements, including venue, meeting rooms, seating, branding, vendors, hospitality,

and client requirements.
- Promote community activities and encourage client participation to strengthen community engagement.
- Meeting Room & Workspace Management
- Manage meeting room bookings, scheduling, utilization, and client coordination.
- Coordinate workspace requirements, client visits, and event-space requirements.
- Ensure meeting rooms and common areas are maintained and ready for client use.
- Monitor utilization of meeting rooms, event spaces, parking, and other center facilities.
- Operations & Internal Coordination
- Coordinate with Sales, Operations, Finance, Admin, Housekeeping, Security, and other internal teams for smooth center operations.
- Coordinate vendors and ensure timely completion of operational requirements.
- Support client billing, payment follow-ups, outstanding coordination, and invoice-related queries.
- Coordinate client branding, signage, event branding, and promotional requirements.
- Ensure adherence to center SOPs, operational policies, safety standards, and compliance requirements.
- Reporting, MIS & Performance Tracking
- Maintain daily, weekly, and monthly MIS related to clients, events, complaints, CSAT, renewals, occupancy,



and community activities.
- Maintain updated client databases, contact details, communication records, and relevant documentation.
- Prepare and present Monthly Management Reports (MMR) covering key achievements, client feedback, events,

challenges, and action plans.
- Track client retention, renewals, complaints, CSAT, event participation, and other key performance indicators.
- Monitor competitor activities, market trends, and nearby coworking/event-space offerings to identify community and operational opportunities.
- Client Retention & Community Growth
- Develop initiatives to improve client satisfaction, engagement, retention, and renewals.
- Identify potential risks of client dissatisfaction or exit and proactively coordinate corrective actions.
- Build a strong community culture through regular engagement and networking initiatives.
- Support overall center performance through excellent client experience, community engagement, and operational coordination.

Key Performance Areas: Client satisfaction, response and resolution time, CSAT, community engagement, event execution, client retention, operational coordination, MIS accuracy, and overall center experienc community.

Qualifications

- Candidates should possess strong communication and interpersonal skills, including the ability to engage sensitively with clients and stakeholders.
- Candidates should possess community engagement and relationship management skills, with experience in coordinating events, workshops, or outreach initiatives.
- Candidates should possess basic marketing and social media skills to help promote services, share updates, and support brand visibility.
- Candidates should possess organizational and time-management skills, including experience with scheduling, record keeping, and handling multiple tasks simultaneously.
- Candidates should possess customer service and problem-solving skills, with a focus on empathy, active listening, and resolving concerns constructively.
- Relevant experience in healthcare, wellness, fitness, or community organizations is beneficial.
- A bachelor’s degree in communications, marketing, social sciences, business, or a related field is preferred but not mandatory if supported by strong experience.
- Comfort working on-site in Noida, with flexibility to support events and activities during peak community hours.
