1. Job Purpose The Assistant Manager – HR & Administration will be responsible for supporting and independently managing day-to-day HR operations, employee relations, manpower coordination, attendance & leave management, recruitment, statutory compliance, payroll coordination, and general administration at the Rajoda manufacturing unit.
The position will act as an important HR point of contact for employees, supervisors, department heads, and management, ensuring smooth HR and administrative operations at the unit.
2. Key Responsibilities
A. HR Operations
- Manage day-to-day HR activities at the Rajoda unit.
- Maintain employee personal files, joining documents and HR records.
- Coordinate employee joining, induction, confirmation, transfer and separation processes.
- Ensure timely updating of employee master data.
- Implement HR policies and procedures at the unit.
- Coordinate with Group HR / Corporate HR for HR-related matters.
- Maintain confidentiality of employee and organizational information.
B. Recruitment & Manpower Planning
- Coordinate recruitment for production, quality, warehouse, maintenance, accounts, administration and other unit requirements.
- Prepare and process Manpower Requisitions as per approved requirements.
- Coordinate with recruitment agencies and candidate sources.
- Conduct preliminary screening and coordinate interviews.
- Maintain recruitment tracker and joining status.
- Coordinate offer letters, appointment letters and joining formalities.
- Monitor manpower requirements against approved headcount.
C. Attendance, Leave & Shift Management
- Monitor daily employee attendance and absenteeism.
- Manage biometric/attendance records.
- Coordinate shift rosters and shift changes with department heads.
- Maintain leave records and ensure leave policy compliance.
- Monitor late coming, early leaving and unauthorized absence.
- Prepare monthly attendance data for payroll processing.
- Identify attendance irregularities and coordinate corrective action.
D. Payroll Coordination
- Coordinate monthly payroll inputs with the payroll/accounts team.
- Verify attendance, leave, overtime, incentives, deductions and other payroll inputs.
- Coordinate statutory payroll data relating to PF, ESIC, Professional Tax, TDS and other applicable deductions.
- Resolve employee queries relating to salary, attendance and deductions.
- Ensure payroll inputs are submitted within defined timelines.
E. Statutory Compliance
- Support compliance under applicable labour and employment laws.
- Coordinate PF, ESIC, Skilled Tax, Bonus, Gratuity, Minimum Wages/Wages and other applicable statutory requirements.
- Maintain statutory registers, records and employee documentation.
- Coordinate labour-law inspections and provide required HR records.
- Support contractor labour compliance wherever applicable.
- Monitor renewal and validity of HR/admin-related registrations, licences and certificates.
- Coordinate with external consultants for statutory compliance wherever required.
F. Employee Relations
- Act as the first-level HR contact for employees.
- Address employee grievances and workplace concerns.
- Maintain positive employee relations and discipline.
- Conduct employee counselling where required.
- Support disciplinary processes as per company policy.
- Monitor employee engagement and workplace issues.
- Escalate sensitive matters to HR Manager / Group HR.
G. Performance Management
- Coordinate probation confirmation processes.
- Support implementation of performance appraisal systems.
- Collect KPI/KRA data from departments.
- Maintain performance review records.
- Support performance improvement plans wherever required.
- Coordinate annual/monthly performance review activities.
H. Training & Development
- Identify training requirements in coordination with department heads.
- Coordinate induction and orientation programs.
- Maintain training calendars and attendance records.
- Coordinate statutory and safety-related training.
- Maintain employee training and skill-development records.
I. Factory / Unit Administration
- Manage day-to-day administrative activities of the Rajoda unit.
- Coordinate housekeeping, security, transportation, canteen and other facility services.
- Monitor office and employee welfare facilities.
- Coordinate uniforms, ID cards, stationery and other employee requirements.
- Support accommodation/transport arrangements where applicable.
- Coordinate vendor and service-provider activities related to administration.
- Ensure workplace facilities are maintained properly.
J. Labour & Contract Workforce Management
- Coordinate deployment and attendance of contract workers.
- Maintain contractor manpower records.
- Verify contractor attendance and manpower statements.
- Coordinate contractor documentation and statutory compliance.
- Monitor contractor wage/payment-related documentation.
- Ensure required labour compliance records are maintained.
K. HR Documentation & MIS
- Maintain employee master data and personnel files.
- Maintain HR registers and records.
- Prepare monthly HR MIS reports.
- Maintain manpower, attendance, turnover, absenteeism and recruitment reports.
- Prepare management reports as required.
- Maintain proper document numbering, filing and document-control practices.
- Ensure HR documents are properly centralized and accessible to authorized personnel.
L. Employee Engagement & Welfare
- Organize employee engagement activities.
- Support festival, employee welfare and recognition activities.
- Coordinate employee communication programs.
- Monitor employee welfare requirements.

5. Authority & Responsibility The Assistant Manager – HR & Admin will have authority to:
- Coordinate routine HR activities within approved company policies.
- Coordinate recruitment and interviews within approved manpower requirements.
- Recommend corrective actions for attendance and discipline issues.
- Coordinate with department heads regarding manpower and employee issues.
- Verify HR records and payroll inputs before submission.
- Recommend improvements in HR and administrative processes.
Major decisions involving recruitment approval, salary, disciplinary action, termination, policy changes or financial commitments will remain subject to management/HR approval. 6. Qualification
Essential:
- Bachelor's degree in HR, Business Administration, Commerce, Management or related discipline.
Preferred:
- MBA / PGDM in Human Resources.
- Certification in Labour Laws / HR Management will be an advantage.
7. Experience
- 4–7 years of relevant experience in HR & Administration.
- Experience in a manufacturing / FMCG / food-processing / industrial environment is preferred.
- Practical experience in factory/unit HR operations, manpower handling, attendance, payroll coordination and statutory compliance is desirable.

10. Working Conditions
- Position will be based at Agastya Nutrifood – Rajoda Unit.
- The role will require regular interaction with production, quality, warehouse, maintenance, accounts and other operational departments.
- The position may require occasional extended working hours depending on operational requirements.
- Regular presence on the manufacturing/unit floor may be required.

12. Candidate Profile The ideal candidate should be a hands-on HR professional capable of independently managing day-to-day HR and administration activities at a manufacturing unit. The candidate should have practical exposure to manpower management, recruitment, attendance, payroll coordination, statutory compliance, employee relations, contract labour and factory administration.
The candidate should be comfortable working closely with operational teams and should demonstrate strong ownership, follow-up and problem-solving abilities.
Pay: ₹20,000.00 - ₹35,000.00 per month
