Position Summary
The Analyst I, TA Operations supports Talent Acquisition by maintaining accurate recruiting data, producing recurring reports, supporting TA systems and access processes, and documenting operational procedures. This role helps create visibility into recruiting activity, requisition status, candidate movement, offer activity, service levels, and process adherence across the recruiting delivery model.
The analyst partners with Recruiting Operations Tech leaders, recruiters, recruiting operations associates, and US-based Talent Acquisition stakeholders to support reporting cadences, data quality reviews, access control requests, workflow issue resolution, and process documentation. Success in this role requires strong attention to detail, structured problem solving, comfort working in systems and trackers, and the ability to communicate operational findings clearly.
Responsibilities
TA Reporting Operational Insights
- Prepare, maintain, and distribute recurring Talent Acquisition reports, dashboards, trackers, scorecards, and operational summaries for assigned teams or workstreams.
- Track and report on requisition activity, posting status, candidate pipeline movement, offer activity, aging, turnaround time, service levels, and other recruiting operations metrics.
- Consolidate data from recruiting systems, shared trackers, and stakeholder inputs to support weekly, monthly, and ad hoc business reviews.
- Identify data trends, gaps, risks, and exceptions and escalate findings to the appropriate TA Operations or recruiting leadership partners.
Data Quality, Auditing Governance
- Review requisition, candidate, job posting,
offer, and workflow data for accuracy, completeness, and alignment to defined standards.
- Perform routine data audits and reconciliations across applicant tracking systems, reporting tools, and operational trackers.
- Document data discrepancies, follow up with owners for resolution, and help maintain clean, reliable reporting inputs.
- Support compliance with internal documentation, confidentiality, and data handling expectations related to recruiting and candidate information.
Systems Access Control Support
- Support day-to-day TA systems administration activities, including user access requests, access changes, access removals, role/profile validation, and basic troubleshooting coordination.
- Maintain access logs, request trackers, and documentation to ensure appropriate controls and audit readiness.
- Assist with researching system issues, workflow defects, reporting gaps, and user questions; document findings and route issues to the appropriate technical or functional owner.
- Support system testing, validation, user acceptance activities, and communication of changes when current workflows, tools, or enhancements are implemented.
Process Documentation Continuous Improvement
- Create, update, and maintain standard operating procedures, job aids, process maps, checklists, and knowledge articles for Recruiting Operations Tech processes.
- Document current-state workflows and identify opportunities to improve clarity, cycle time, data quality,
control points, and stakeholder experience.
- Track process change requests, open issues, action items, and follow-ups to support implementation and adoption.
- Partner with team members to standardize recurring processes and reduce manual effort where possible.
Stakeholder Operational Support
- Provide timely operational support to recruiters, recruiting operations associates, supervisors, managers, and US-based TA partners.
- Prepare meeting materials, action logs, status updates, and follow-up summaries related to reporting, systems, process, and operational initiatives.
- Manage assigned requests and recurring deliverables with accuracy, professionalism, and timely follow-through in a cross-time-zone environment.
- Protect confidential candidate, employee, requisition, and business information in accordance with internal policies and expectations.
Education Experience
- Bachelor's degree in Human Resources, Business Administration, Operations, Information Systems, Analytics, Data Management, or a related field; equivalent experience may be considered.
- Typically 2+ years of experience in Talent Acquisition operations, HR operations, recruiting coordination, reporting, systems support, shared services, business operations, or a related environment.
- Experience preparing recurring reports, maintaining trackers, auditing data, documenting processes, or supporting operational workflows.
- Experience working with confidential employee, candidate, or business data in a deadline-driven service environment.
