Position Overview

The Lab Secretary will support daily laboratory activities, maintaining accurate records, managing supplies, and ensuring smooth communication between scientific staff and external partners. This role reports to the Laboratory Manager and requires 4‑5 years of relevant experience.

Key Responsibilities

• Coordinate scheduling of experiments, equipment usage, and meetings for lab personnel.
• Maintain and update laboratory inventory, place orders, and track deliveries of reagents, consumables, and safety equipment.
• Prepare, file, and retrieve scientific documentation, including protocols, test results, and regulatory paperwork, ensuring compliance with SOPs.
• Manage electronic lab notebook systems and data entry, guaranteeing data integrity and confidentiality.
• Serve as the primary point of contact for internal and external inquiries, handling correspondence, phone calls, and email communications.
• Assist with sample accessioning, labeling, and storage, following chain‑of‑custody procedures.




• Organize and archive physical and digital records in accordance with audit and accreditation standards.
• Support onboarding of new lab members by arranging access badges, workstation setup, and safety training logistics.
• Facilitate routine equipment calibration and maintenance logs, notifying technicians of service needs.
• Contribute to continuous improvement initiatives by suggesting workflow enhancements and process optimizations.

Required Qualifications

• 4–5 years of experience in a laboratory administrative or secretarial role.
• Proficiency in laboratory operations, including inventory management, sample handling, and compliance documentation.
• Solid command of MS Office (Word, Excel, Outlook) and familiarity with LIMS or electronic lab notebook platforms.
• Excellent written and verbal communication skills; ability to interact professionally with scientists, vendors, and regulatory bodies.
