Job Summary The Dispatch Executive is responsible for planning, coordinating, and executing the dispatch of finished machines, components, and spare parts using SAP ERP in a machine manufacturing workplace. The role ensures timely deliveries, accurate documentation, system compliance, and coordination with internal teams and logistics partners.

Key Responsibilities
Plan and execute dispatch of machines, components, and spare parts as per delivery schedules
Perform dispatch-related transactions in SAP (Goods Issue, Delivery Creation, Billing coordination, etc.)
Coordinate with production, stores, quality, and sales teams to ensure dispatch readiness
Prepare, verify, and process dispatch documents including invoices, delivery challans, packing lists, e-way bills, LR copies, and transport bills
Ensure proper packing, labeling, and loading of machines/materials to avoid transit damage
Coordinate with transporters and logistics partners for vehicle placement and timely dispatch
Track shipments and update dispatch status in SAP and internal records
Maintain accurate dispatch data, reports, and documentation in SAP and physical registers




Coordinate with customers regarding dispatch schedules and shipment details
Ensure compliance with GST regulations, statutory requirements, and company SOPs
Handle dispatch discrepancies, shortages, damages, or delays in coordination with concerned departments

Required Skills & Competencies
Hands-on experience with SAP (SD / MM modules preferred)
Robust understanding of dispatch and logistics operations in a manufacturing setting
Knowledge of GST, e-way bill generation, and transport documentation
Proficiency in MS Office and ERP-based reporting
Strong coordination, communication, and follow-up skills
High attention to detail and ability to meet tight deadlines

Qualifications
Bachelor’s degree / Diploma in Logistics, Supply Chain, Mechanical, or related discipline
Practical SAP experience preferred

Experience
2–5 years of experience in dispatch/logistics
Prior experience in a machine manufacturing / engineering company is highly desirable

Extended working hours may be required during peak dispatch periods
