About the Role
We are looking for an experienced CRM & Business Systems Administrator to take ownership of the company's CRM, communication systems, business applications, automations, integrations, and user access management.
This is a hands-on systems administration role. The ideal candidate should already have practical experience managing platforms such as HubSpot, RingCentral, Zapier, Twilio, GoDaddy, cPanel, and other SaaS/business tools.
This is not an entry-level CRM or freshers' position. We are looking for someone who can independently configure systems, troubleshoot issues, manage user access, build and maintain automations, and support employees with their day-to-day technology and application requirements.
Key Responsibilities1. CRM Administration — HubSpot
- Administer and maintain the company's HubSpot environment.
- Create, modify, deactivate, and manage HubSpot user accounts.
- Assign appropriate user roles, permissions, teams, and access levels.
- Manage CRM properties, pipelines, workflows, views, forms, and other configurations.
- Troubleshoot user access, login, permission, and configuration issues.
- Support employees with HubSpot-related problems.
- Maintain CRM data structure and system organization.
- Assist with HubSpot integrations with other business applications.
- Monitor and troubleshoot CRM workflows and automations.
- Maintain proper documentation of CRM configurations and processes.
2. Communication System Administration — RingCentral
- Administer the company's RingCentral environment.
- Create and manage users, extensions, numbers, call queues, IVR configurations, and permissions.
- Assign and reassign phone numbers and extensions.
- Manage user access and communication settings.
- Troubleshoot calling, login, routing, and access-related issues.
- Configure RingCentral integrations with CRM and other systems.
- Support employees when they experience issues with their communication accounts.
3. Automation & Integration — Zapier
- Build and maintain business automations using Zapier.
- Connect different applications and create automated workflows.
- Monitor existing Zaps and troubleshoot failed automations.
- Identify repetitive manual processes that can be automated.
- Maintain integrations between CRM, communication, lead management, reporting, and other business applications.
- Test automations before deploying changes.
- Document important automation workflows and dependencies.
4. SaaS & Business Application Administration
Manage and support the company's wider software ecosystem, including platforms such as:
- HubSpot
- RingCentral
- Zapier
- Twilio
- GoDaddy
- cPanel
- Google Workspace / Microsoft 365
- Other CRM, communication, marketing, productivity, hosting, and business applications
The candidate should be comfortable learning and administering additional software platforms as the company adopts new tools.
5. User Account & Access Management
- Create accounts for current employees.
- Provide appropriate application access based on job responsibilities.
- Add, modify, and remove user permissions.
- Reset passwords and assist with account recovery.
- Assist employees who are locked out of applications.
- Support MFA/authenticator setup and account verification.
- Maintain records of user access and permissions.
- Remove or revoke access when employees leave the organization.
- Ensure former employees do not retain access to company systems.
6.
Recent Employee Technology Setup
Take ownership of the software and application setup process for new employees.
This may include:
- Creating required accounts.
- Setting up HubSpot access.
- Setting up RingCentral.
- Assigning phone numbers/extensions where required.
- Setting up email and business applications.
- Configuring MFA/authenticator access.
- Providing required permissions.
- Connecting required applications.
- Testing access before the employee starts.
- Providing basic onboarding support.
The objective is to ensure that a current employee can start work with all required systems already configured.
7. Employee Offboarding
When an employee leaves the company:
- Disable required accounts.
- Remove application access.
- Revoke administrative permissions.
- Remove RingCentral access.
- Disable HubSpot access.
- Review connected applications.
- Transfer ownership of relevant accounts/assets where required.
- Revoke access to automation platforms and other business systems.
- Ensure company data and systems remain secure.
- Complete and document the offboarding checklist.
8. Troubleshooting & Technical Support
Provide first-level administrative support for business applications.
Examples include:
- "I can't log in."
- "My HubSpot access isn't working."
- "I don't have permission to access this."
- "My RingCentral number isn't showing."
- "The automation didn't run."
- "Zapier is showing an error."
- "My authenticator isn't working."
- "I need access to this application."
- "This integration stopped working."
The candidate should be capable of investigating the issue, identifying the cause, and resolving it independently whenever possible.
9. System Documentation
Maintain accurate documentation for:
- Application accounts
- User access
- Permissions
- Integrations
- Automations
- System configurations
- Phone numbers and assignments
- Administrative procedures
- New employee setup
- Employee offboarding
- Troubleshooting procedures
All critical systems should have clear documentation so that the company is not dependent on one individual's memory.
Required Experience & SkillsMust Have
- 3+ years of professional experience in CRM administration, business systems administration, SaaS administration, IT systems administration, or a similar role.
- Strong hands-on experience with HubSpot administration.
- Practical experience with Zapier and business automation.
- Experience administering communication platforms such as RingCentral, Twilio, or similar systems.
- Experience managing users, permissions, accounts, and access.
- Experience with MFA / authenticator applications.
- Experience troubleshooting SaaS applications and integrations.
- Experience setting up software and systems for new employees.
- Strong understanding of SaaS administration and user access management.
- Ability to independently troubleshoot problems rather than relying entirely on third-party support.
- Strong documentation and organizational skills.

Technical Expectations
The candidate should be comfortable working with concepts such as:
CRM → API → Integration → Automation → User → Permission → Authentication → Data → Workflow
They should be able to understand how different business applications communicate with one another and troubleshoot where a process breaks.
For example:
HubSpot → Zapier → Another Application → RingCentral / Twilio → User
If an automation stops working, the candidate should be able to investigate each stage and determine where the problem occurred.

This Role Is NOT For
This position is not suitable for candidates whose experience is limited to:
- Basic HubSpot data entry.
- Using HubSpot only as a salesperson.
- Basic CRM usage without administration experience.
- Only creating Zapier Zaps from tutorials.
- Social media or marketing automation without technical administration experience.
- Fresh graduates looking for their first professional role.
- Candidates who have only theoretical knowledge of the platforms.
We are specifically looking for someone with real-world administrative and troubleshooting experience.
Qualifications
- Bachelor's degree in IT, Computer Science, Business Information Systems, or a related field is preferred.
- Equivalent skilled experience may be considered.
- Relevant HubSpot, Zapier, IT, SaaS, or systems administration certifications are a plus.
What You Will Own
The person hired for this position will effectively become one of the primary owners of the company's business application ecosystem.
You will be responsible for ensuring that:
People have access → Systems work → Applications communicate → Automations run → Problems are resolved → Access remains controlled → New employees are set up → Departing employees are removed.
