About 365 Medicare
365 Medicare is a UK domiciliary care organisation focused on delivering high-quality, person-centred care within the community.
As we continue to develop and strengthen our organisation, we are looking for an experienced HR Manager to take ownership of the HR function, bring structure and discipline to our processes, and build a reliable HR framework that supports the wider business.
This is not a role for someone looking simply to maintain an existing HR department.
We are looking for someone who can step into an evolving environment, understand what needs to be done, organise it, establish processes and controls, and take responsibility for making sure things happen.
The Role
The HR Manager will have responsibility for the day-to-day HR function and will work closely with senior management to ensure that people, processes and documentation are properly managed.
The successful candidate will be expected to take ownership rather than wait to be directed. You should be comfortable walking into a situation where some processes need strengthening, identifying the gaps, putting a structure around them and following through until the job is completed. The role requires someone who is equally comfortable dealing with people and administration, documentation, systems, records, follow-up and compliance.
Key Responsibilities
HR Operations & Organisation
- Take ownership of the day-to-day HR function and establish clear, structured working processes.
- Review existing HR practices, identify gaps and implement practical improvements.
- Develop, maintain and enforce HR policies, procedures, SOPs and documentation.
- Maintain accurate and confidential employee records and ensure documentation is complete and up to date.
- Establish proper systems for employee files, contracts, leave, attendance, performance, training and other HR records.
- Ensure HR actions are followed through to completion rather than left outstanding.
Recruitment & Onboarding
- Manage the recruitment process from initial requirement through to onboarding.
- Develop effective candidate pipelines and improve the quality of recruitment.
- Conduct structured interviews and assessments.
- Ensure recruitment decisions are properly documented and supported by evidence.
- Coordinate pre-employment checks, documentation, induction and onboarding.
- Maintain clear recruitment records and candidate status tracking.
Employee Administration & Performance
- Manage employee lifecycle processes from joining through to exit.
- Monitor attendance, leave, probation, performance reviews and other employee processes.
- Establish and maintain a structured performance management process.
- Ensure managers are supported with appropriate documentation and processes when dealing with performance or conduct matters.
- Maintain appropriate records of employee discussions, actions and outcomes.
Employee Relations
- Handle employee queries and workplace matters professionally and objectively.
- Investigate issues fairly, gather the relevant facts and maintain appropriate documentation.
- Balance employee concerns with company policies, operational requirements and management responsibilities.
- Maintain confidentiality and professional boundaries at all times.
- Escalate matters appropriately where management input or decision-making is required.
Compliance & Documentation
- Maintain appropriate HR documentation and ensure records are properly controlled.
- Support compliance with applicable employment requirements and company policies.
- Ensure HR documentation is available, accurate and auditable.
- Identify areas of risk and bring them to management's attention promptly.
Management Support
- Act as a professional HR partner to management and operational leadership.
- Provide practical HR advice based on facts, policy and business requirements.
- Produce HR reports, trackers and management information when required.
- Follow through on agreed actions and provide clear updates on progress.
- Contribute to building a more organised, accountable and professional working environment.
What We Are Looking For
We are looking for an experienced HR professional with maturity, judgement and the ability to take charge of a function.
You should be someone who:
- Has 7+ years of meaningful HR experience, including experience managing HR responsibilities independently.
- Has the confidence and ability to establish structure where processes need improvement.
- Takes ownership and follows tasks through to completion.
- Is highly organised and comfortable managing a significant amount of HR administration and documentation.
- Understands that good HR is not only about people — process, records, compliance, consistency and follow-through are equally key.
- Is comfortable dealing with both employees and senior management.
- Can handle difficult or sensitive conversations professionally.
- Is objective and balanced when dealing with employee and management matters.
- Has sound judgement and understands when to resolve an issue and when to escalate it.
- Is comfortable questioning an existing process and improving it where necessary.
- Is accountable for outcomes rather than simply completing assigned tasks.
Communication – Essential
Excellent spoken and written English is an absolute requirement for this position.
The role involves regular professional communication with UK-based colleagues and management, and the successful candidate must be able to communicate clearly, confidently and naturally in English.
Strong written communication, professional vocabulary, clear sentence construction and the ability to communicate confidently in conversation are essential.
A Mandatory First Step
Candidates must submit a short voice note introducing themselves as part of their application and send it to
[email protected]
The voice note should be approximately 60–90 seconds and should cover:
- Your current/most recent HR role.
- Your relevant HR management experience.
- What attracted you to this role.
Applications without the requested voice note will not be progressed. The purpose is simply to understand how you communicate, present yourself and explain your experience before progressing to the interview stage.
Qualifications & Experience
Essential
- Bachelor's degree in Human Resources, Business Administration or a related field.
- Minimum 7 years of meaningful HR experience, including experience managing HR responsibilities independently.
- Demonstrable experience taking ownership of HR processes and improving or organising an existing HR function.
- Excellent spoken and written English.
- Strong organisational, administrative and documentation skills.
- Good working knowledge of Microsoft Office and HR systems.
- Experience managing recruitment, onboarding, employee records, attendance, leave, performance and employee relations.
Strong Advantage
Experience working with UK-based organisations, particularly in the following areas, will be considered a significant advantage and will carry considerable weight in the selection process:
- UK recruitment and candidate management.
- Understanding of UK employment practices and labour law.
- UK employee lifecycle processes and documentation.
- UK employment contracts, policies and HR procedures.
- Working directly with UK-based management or teams.
- Experience within healthcare, social care, domiciliary care or another regulated UK environment.
UK HR and recruitment experience is not mandatory. However, where candidates have otherwise comparable experience and capability, demonstrated UK experience will be a significant factor in the selection decision.
Desirable
- HR qualification such as MBA/PGDM/MA in HR, MSW-HR, or equivalent.
- Experience working with international or UK-based teams.
- Experience implementing or improving HR systems and processes.
- Experience working in a regulated environment.
The Person
This position will suit someone who is confident, articulate, organised, practical and commercially aware. You should be comfortable taking responsibility and making progress without waiting for someone to provide a step-by-step instruction for every task.
You should also understand that HR is a management function. The role requires someone who can listen to employees and understand their concerns while remaining objective, fair and aligned with company policy, operational requirements and management responsibilities. We are looking for a professional who can build trust on all sides.
If you are looking for a role where you can make a meaningful difference, build systems, improve processes and take genuine ownership of HR, we would like to hear from you.
