Job Summary

We are looking for a Parts Assistant/Executive to manage day-to-day spare parts operations at our authorised heavy commercial vehicle service centre. The candidate will be responsible for parts availability, issuing parts to the workshop, inventory control, procurement coordination, stock reconciliation and maintaining accurate parts records.

Key Roles & Responsibilities

- Handle day-to-day spare parts counter and inventory operations.
- Receive, inspect and properly store incoming spare parts.
- Issue spare parts to technicians/workshop against authorised parts requisitions.
- Ensure timely availability of required parts for workshop jobs.
- Maintain accurate records of parts receipts, issues, transfers and returns.
- Monitor stock levels and identify fast-moving, slow-moving and non-moving parts.
- Prepare purchase/replenishment requirements based on stock levels and workshop demand.
- Coordinate with authorised suppliers/OEM for parts availability, pricing and delivery.
- Follow up on pending parts orders and ensure timely receipt.
- Maintain proper storage, identification and arrangement of spare parts.
- Conduct regular physical stock verification and reconciliation.
- Investigate and report stock shortages, excesses or discrepancies.
- Ensure warranty and defective parts are properly identified, tagged and stored.
- Coordinate with the Workshop Manager, Service Advisors, Technicians, Warranty and Accounts teams.
- Ensure parts are issued against the correct vehicle/job card.
- Maintain proper documentation for purchase, receipt, issue and return of parts.




- Prepare daily/weekly/monthly parts stock and consumption reports.
- Monitor parts ageing and take appropriate action on slow/non-moving inventory.
- Maintain cleanliness and proper organisation of the parts store.
- Follow company SOPs and OEM guidelines for parts handling and inventory management.

Required Skills

- Valuable knowledge of automobile spare parts, preferably heavy commercial vehicle parts.
- Understanding of inventory and stock management.
- Good knowledge of MS Excel and computerised inventory systems.
- Knowledge of SAP will be an advantage.
- Good communication and coordination skills.
- Strong numerical and documentation skills.
- Ability to identify and maintain proper parts records.
- Good follow-up and negotiation skills with suppliers.
- Attention to detail and ability to work under pressure.

Qualification & Experience

Qualification: Graduate / Diploma / ITI in Automobile, Mechanical or related field.

Experience: 2–5 years of relevant experience in Automobile Parts / Spare Parts / Inventory Management.

Experience in Ashok Leyland workshop will be preferred.

The ideal candidate should be organised, responsible and capable of ensuring the right part, at the right time, for the right vehicle/job. Candidates with practical knowledge of heavy commercial vehicle spare parts and workshop operations will be preferred.
