We are seeking an AI Specialist for a 6-month engagement to work directly with our business units and accelerate the adoption of Microsoft 365 Copilot across the organization. The AI Specialist will act as the bridge between everyday business needs and Microsoft's AI capabilities – meeting each business unit, understanding their daily tasks and projects, and mapping those requirements to practical Copilot solutions.

This is a hands-on, business-facing role. The successful candidate will coach employees, design effective prompts, and build agents using Copilot Agent Builder. Where a requirement calls for a more complex, custom solution, the AI Specialist will scope the requirement in Microsoft Copilot Studio and prepare a clear specification that can be handed over to an external development partner (e.g. a SI/form-based agent provider) for delivery.

2. Purpose of the Role

Engage with every business unit to understand and document their daily tasks, workflows and projects.

Map identified business requirements to the most suitable Microsoft Copilot capability.

Enable and upskill employees so they can independently and effectively use Copilot in their day-to-day work.

Deliver quick wins through prompt engineering and Agent Builder, while identifying opportunities for custom agents built in Copilot Studio.

Serve as the internal point of contact and requirement owner for any custom agent development that is outsourced to an external partner.

3. Key Responsibilities

Business Discovery

Meet each business unit to review their daily tasks, recurring activities and projects; document workflows, pain points and productivity gaps.

Use-Case Mapping

Translate each requirement into a suitable Microsoft Copilot use case, prioritized by expected productivity impact and feasibility.

Prompt Engineering

Design, test and refine effective, reusable prompts that map a team’s requirement to a Copilot outcome; build a shared prompt library.

Agent Building

Build no-code / low-code agents using Copilot Agent Builder to automate specific tasks and answer business-unit-specific questions.

Employee Enablement

Coach and train individual employees and teams on how to use Copilot, write prompts and use the agents created for them.

Custom Agent Scoping

Identify requirements that need a custom agent in Microsoft Copilot Studio; capture and document the full functional requirement.

Partner Handover

Prepare clear requirement specifications and pass them to the external development provider; act as liaison and validate delivered custom agents.

Governance & Adoption

Work within existing AI governance guardrails; track adoption, gather feedback and report measurable productivity improvements.

4. Required Skills & Experience

Essential

Hands-on experience with Microsoft 365 Copilot across Word, Excel, PowerPoint, Outlook and Teams.

Solid prompt engineering skills – able to structure prompts for clarity, context and reliable output.

Practical experience building agents with Copilot Agent Builder and understanding of Microsoft Copilot Studio.

Ability to gather business requirements, run discovery workshops and translate needs into clear technical specifications.

Excellent communication, coaching and stakeholder-management skills across both technical and non-technical audiences.

Awareness of responsible AI, data protection and enterprise data-governance principles.

Strong business & communication skills — stakeholder engagement, requirements gathering, functional specifications, presentations, demonstrations, workshops, coaching and training.

Desirable

Familiarity with Power Platform (Power Automate, Power Apps) and Application Lifecycle Management concepts.

Experience coordinating with external development partners for custom solution delivery.

Background in IT, business analysis, digital transformation or change management.

Relevant Microsoft certifications (e.g. Copilot,

Power Platform, AI fundamentals).

5. Key Deliverables (Over 6 Months)

A Copilot Use-Case Mapping document for each business unit.

A curated, reusable prompt library aligned to business-unit requirements.

A set of Agent Builder agents deployed for prioritised, high-impact use cases.

Requirement specification documents for any custom agents to be developed by the external partner.

Trained, self-sufficient users across business units and an adoption / impact report at engagement close.

6. Engagement Model

The AI Specialist will rotate across business units on a structured schedule covering discovery, enablement, and follow-up, while remaining the central owner of Copilot adoption and AI solution development.

The role will be responsible for defining and driving the Copilot adoption roadmap, identifying and prioritizing high-value business use cases, coordinating business-unit engagement, delivering enablement and training, and tracking adoption, usage, and business impact.

The AI Specialist will also own the design, development, deployment, and ongoing enhancement of solutions using Microsoft Copilot and Power Apps, including the development of custom Copilot agents and business applications that address identified business needs. This includes translating business requirements into scalable solutions, managing the solution lifecycle, and ensuring appropriate documentation and knowledge transfer.

Security will be a core responsibility throughout the solution lifecycle. The AI Specialist will ensure Copilot and Power Apps solutions adhere to organizational security, privacy, data protection, access control, and AI governance requirements, and will work closely with IT and Information Security teams to conduct risk assessments, validate controls, and address security or compliance issues before deployment.

Must have real-world, hands-on experience turning business requirements into Microsoft Copilot, AI agent or automation solutions, and can help teams move from business need to measurable productivity impact, we’d love to hear from you.
