Responsible for the overall management, maintenance, availability, performance, and operational efficiency of the company’s vehicles, construction equipment, and machinery. The role involves preventive and breakdown maintenance, fleet monitoring, workshop coordination, spare parts management, documentation, cost control, and ensuring maximum vehicle availability with minimum downtime.

Key Responsibilities

- Fleet Management

- Monitor the daily availability, utilization, and operational condition of all company vehicles and equipment.

- Maintain proper records of vehicle-wise running hours, kilometres, fuel consumption, breakdowns, repairs, and maintenance.

- Ensure vehicles and equipment are available for site requirements as scheduled.

- Preventive &
- Breakdown Maintenance

- Plan and monitor preventive maintenance schedules based on kilometres, running hours, manufacturer recommendations, and vehicle condition.

- Monitor breakdowns and ensure immediate corrective action to minimize downtime.

- Analyze recurring breakdowns and identify the root cause.

- Conduct regular inspections of vehicles and machinery and ensure timely rectification of defects.

- Workshop &

- Repair Coordination

- Coordinate with internal mechanics, external workshops, service centres, and suppliers for repair and maintenance activities.

- Verify repair requirements before sending vehicles/equipment for outside work.

- Monitor the progress, quality, and completion of repair works.

- Verify job cards, work completion details, and repair bills before submission.

- Spare Parts &

- Inventory

- Monitor requirements, availability, issue, and consumption of mechanical spares, lubricants, tyres, batteries, and other maintenance materials.

- Ensure proper documentation for all spare parts issued and used.

- Monitor spare-part quality and prevent unnecessary or duplicate purchases.

- Fuel &

- Mileage Monitoring





- Monitor vehicle-wise fuel consumption and mileage.

- Identify abnormal fuel consumption and take corrective action.

- Review kilometre/hour readings, fuel records, and vehicle utilization regularly.

- Tyre &

- Battery Management

- Maintain proper records of tyre fitment, removal, mileage, condition, rotation, and replacement.

- Monitor battery performance, replacement history, and warranty details.

- Identify abnormal tyre wear and battery failures and recommend corrective measures.

- Documentation &

- Reporting

- Maintain updated vehicle files, service records, job cards, inspection reports, insurance details, permits, and maintenance history.

- Prepare daily/weekly/monthly fleet performance and maintenance reports for management.

- Track pending repairs, breakdowns, scheduled services, and major maintenance requirements.

- Ensure all maintenance activities are properly documented.

- Driver &

- Mechanic Coordination

- Coordinate with drivers and operators regarding vehicle condition, defects, maintenance requirements, and operating issues.

- Ensure drivers report vehicle problems immediately.

- Monitor mechanic activities and ensure assigned maintenance works are completed within the required timeline.

- Provide technical guidance to drivers and mechanics wherever required.

- Cost Control

- Monitor maintenance expenditure and identify opportunities to reduce repair and operating costs.

- Analyze vehicle-wise maintenance costs and recurring expenses.

- Ensure repairs and replacements are technically justified and cost-effective.

- Safety &

- Compliance

- Ensure vehicles and equipment are maintained in safe operating condition.

- Conduct periodic safety inspections and ensure identified defects are rectified promptly.

- Ensure compliance with company maintenance procedures and applicable statutory requirements.
