Founder's Office Manager — Execution & Special Projects

Internal designation: Chief of Staff – Execution | Location: Indore, work from office | Experience: 4–7 years | CTC: ₹12–18 lakh per annum, depending on experience | Reports to: Founder / Managing Director | Full time

About the role

You own the gap between "the Founder said it" and "it is done."

The Founder runs a group of related businesses in pharmaceuticals, nutraceuticals, herbal personal care and consumer brands, and moves quickly between priorities. Your job is to make sure that once something is decided, delegated or initiated, it keeps moving without the Founder having to remember it, follow up repeatedly, or chase completion. You act as the execution conduit between the Founder and teams, employees, agencies, vendors and external stakeholders.

This is an execution and accountability role — not a strategy-only role and not an executive-assistant role. You are not expected to know these industries on day one. You are expected to know who does what in each within your first month.

What you will do

- Capture: every task the Founder gives — in a meeting, voice note, WhatsApp or email — is logged the same day with an owner, a due date and a definition of done. The Founder dumps; you structure.
- Chase: you own the follow-through with business development, operations, purchase, the plant, vendors, agencies and partners. People hear from you, not the Founder. Persistent without becoming abrasive.
- Unblock: when something stalls, find out why and clear it. Small blockers you resolve yourself.
- Escalate intelligently: only where Founder involvement is genuinely required, in a decision-ready format — decision required, context, options, your recommendation, deadline, and what happens if no decision is taken. Maintain a clearly visible "Waiting on Founder" queue.
- Report: a short written brief every working day — Closed, At risk, Blocked (and why), Waiting on Founder, Important next. The Founder should grasp the state of execution across all businesses in about 10 minutes.
- Close the loop: verify completion against evidence — a document, an email confirmation, a shipment, a live change — not against someone saying "done". Activity is not completion.
- Keep the system honest: surface stale tasks, overdue items, tasks without owners, repeated postponements and "almost finished" work before the Founder discovers them.
- Run special projects:



act as temporary owner for Founder-led initiatives that cut across businesses, and drive them until ownership transfers or they are complete.

Your authority For initiatives delegated by the Founder, you are authorised to request updates, information and reports; call coordination meetings; establish and reconfirm deadlines; coordinate between departments and with approved vendors and agencies; challenge incomplete responses; ask for evidence of completion; follow up repeatedly; highlight missed commitments; and escalate repeated delays. Your follow-up is treated internally with the seriousness of a direct Founder follow-up. You do not need people to report to you in order to hold them accountable for Founder-assigned commitments. What this role is not

- Not a personal assistant: no personal errands, personal travel or routine calendar administration.
- Not a second CEO: the Founder sets direction; you protect execution of it.
- Not a department head: teams keep reporting to their managers; your authority is over execution of Founder-sponsored priorities.
- Not a passive tracker: if your output is a dashboard the Founder still has to read, chase and act on, the role has failed. The dashboard is a tool; execution is the job.

Decision boundaries You may investigate, coordinate, recommend and prepare decisions. Unless separately authorised, you do not independently approve payments, operate bank accounts or handle OTPs, sign contracts or bind a company, make material financial commitments, change major commercial terms, make final hiring, firing or compensation decisions, make legal or regulatory decisions, override specialist judgement in technical matters, or change business strategy. Where such decisions arise, you prepare the issue and bring it to the appropriate decision-maker.

Working rhythm The Founder travels often. You run the loop whether or not he is in Indore; written reporting replaces the need to sit together. Daily: a short written brief at the same time every working day. Weekly: a 30-minute review of everything open, by business and owner,



with the dashboard as the agenda. Continuous: the Waiting on Founder queue kept current, each item one line with a recommendation.

Who we are looking for A highly organised, polished and execution-oriented operator who combines strong communication with persistence. 4–7 years in a Founder's Office, CEO/MD Office, Chief of Staff, program or project management, PMO, business operations or consulting-with-implementation role. Industry experience in pharma, FMCG, personal care or manufacturing is useful but not mandatory; execution ability matters more than industry pedigree. Fluent in Google Workspace and a task tracker such as Notion; comfortable with AI tools for drafting and summarising.

The traits that matter most:

- Persistent without creating friction — comfortable chasing people senior to you, repeatedly. The single most important quality.
- High agency — when something is blocked, your first instinct is "how do I get this moving?", not "I have informed the Founder."
- Highly organised — nothing important lives only in your head; you naturally create systems.
- Strong written communication — you turn a rambling voice note into task, owner, deadline, deliverable.
- Valuable judgement — you know what you should solve, what a functional owner should solve, and what genuinely needs the Founder.
- Discreet — you will see commercially sensitive information across every business.

What success looks like

- Day 30: you know every person in every business and what they own; every open Founder-level task is in the tracker with an owner and a date.
- Day 60: the Founder has stopped following up directly on routine delegated work. Teams route status through you. The Waiting on Founder queue is working.
- Day 90: slipped deadlines are flagged before they slip, not after. Stale items are rare. The weekly review takes under 30 minutes.

The ultimate test is simple. The Founder should rarely need to ask: "Whatever happened to that thing I had asked for?" The closer that number gets to zero, the more successful you are.

Send a CV and a note of no more than 150 words describing one situation where you personally got an important outcome delivered through people who did not report to you — what needed doing, why it was hard, what you did when it stalled, and the result. Not a project where you managed your own team. No cover letter.
