About the Opportunity
Facility Plus Services is looking for a highly professional, articulate and experienced Executive Assistant (EA) for a short-term assignment supporting the Head of Global Operations of one of our multinational client organizations during his visit to India. The assignment will run from 26 October 2026 to 6 November 2026 and will be based primarily in Cyber City, Gurgaon.
The executive is based in the United States and will be in Gurgaon for approximately three weeks for a combination of business commitments and a major sporting event.
This role requires someone who can operate with a high degree of independence, professionalism and discretion. The selected EA will help the executive manage a demanding schedule, coordinate meetings and logistics, and assist with both business-related and day-to-day requirements during his stay in India.
There may also be situations where the EA will need to represent or act on behalf of the executive for routine coordination matters when he is unable to be physically present.
This is an excellent opportunity for an experienced EA who is comfortable supporting senior/global leadership and working in a fast-paced international environment.
Key Responsibilities The Executive Assistant will be responsible for:
- Providing end-to-end executive and administrative support to the Head of Global Operations during his stay in India.
- Managing and coordinating calendars, meetings, appointments and daily schedules.
- Helping the executive balance business commitments with other scheduled engagements during the visit.
- Coordinating meetings with internal teams, external stakeholders and other relevant parties.
- Handling local logistics, transportation arrangements, reservations and schedule changes as required.
- Preparing and organizing meeting information, documents, schedules and other materials.
- Following up with stakeholders on behalf of the executive.
- Attending or coordinating certain activities/meetings when the executive is unable to be present, where appropriate.
- Taking notes, tracking action items and ensuring timely follow-ups.
- Handling emails, basic documentation and routine computer-based administrative work.
- Assisting with ad-hoc business and administrative requirements.
- Learning certain executive-specific tasks during the initial orientation and carrying them out independently thereafter.
- Maintaining strict confidentiality and exercising discretion while handling business and personal information.
- Remaining adaptable with working hours when reasonably required due to the executive's schedule.
Candidate Profile We are looking for someone who is mature, polished, dependable and exceptionally well-organized.
The ideal candidate should have:
- Prior experience as an Executive Assistant, Personal Assistant, Senior Administrative Assistant, Executive Coordinator or in a similar role.
- Experience supporting senior management, CXO-level executives or international leadership will be strongly preferred.
- Exceptional spoken and written English communication skills.
- Strong organizational, scheduling and coordination abilities.
- Ability to work independently with minimal supervision.
- Good judgment and the ability to handle confidential or sensitive matters professionally.
- Strong interpersonal skills and confidence while interacting with senior stakeholders.
- Ability to manage changing priorities and last-minute schedule adjustments.
- Good working knowledge of MS Office, email, calendars and other basic business applications.
- Strong attention to detail and follow-through.
- Professional appearance, etiquette and communication style.
- Familiarity with Gurgaon/Delhi NCR and local logistics would be an advantage.
Qualifications Education: Graduate in any discipline. Candidates with relevant professional experience and excellent communication skills will be given preference.
Experience: Preferably 510 years of relevant experience in Executive Assistant, Personal Assistant,
Executive Coordination or similar roles.
Candidates who have previously supported expatriate executives, global leadership teams, CEOs, COOs, business heads or other senior executives would be particularly suitable for this assignment.
Compensation
This is a premium short-term assignment, and compensation will be commensurate with the candidate's experience, communication skills and suitability for the role.
The engagement will be on the payroll of Facility Plus Services for the assignment period.
Any orientation or preliminary meetings required for the assignment will be treated as part of the engagement as applicable.
Future Full-Time Opportunity
While the immediate requirement is for approximately three weeks, there is a possibility of a future full-time Executive Assistant opportunity with the same client organization.
Any future opportunity would depend upon the candidate's performance during the assignment, overall suitability, availability of a suitable position and the client's business requirements.
This should therefore be viewed as a short-term assignment with the potential to create a longer-term career opportunity for an exceptional candidate.
