About the Office of the Controller of Examinations The Office of the Controller of Examinations (CoE) is the central administrative unit responsible for planning, organizing, and overseeing all aspects of examinations and assessments within the IIHS (Institution Deemed to be) University, hereinafter referred to as the 'University'. This office ensures the smooth conduct of examinations, from scheduling and question paper preparation to evaluation, grading, and the timely declaration of results. The office upholds academic integrity, confidentiality, and fairness in the examination process while also managing processes related to revaluation, makeup examinations, and issuance of transcripts and degree certificates.
Serving as a vital link between academic program offices, faculty, students, and the University administration, the Office of the CoE plays a crucial role in maintaining the highest standards of integrity, quality, transparency, and accountability in the academic evaluation process and system.
We are seeking a highly motivated and talented skilled to ensure accurate, confidential, secure and timely execution of key examination operations within the Office of the Controller of Examinations.
The role involves working closely with faculty and the CoE team to prepare and administer examinations, develop examination question papers, and digitise examination answer scripts. The incumbent will handle highly confidential examination materials and records and will therefore be expected to demonstrate exceptional integrity, discretion, attention to detail, and process discipline.
This is a high-trust operational role. The person in this position is expected to take complete ownership of assigned examination processes and ensure that every examination is executed correctly and without compromising confidentiality, accuracy or security.
This could be either a regular position or a 11- month contractual engagement, renewable on mutual consent, with the potential to turn into a regular position over time.
Activities and Tasks
Responsibilities would include, but not be limited to, the following:
Examination creation and administration
- Creating and configuring mid-term, final and other examinations on the University’s LMS;
- Receiving and handling examination questions and related materials in adherence to prescribed confidentiality and security protocols;
- Ensuring that examination questions and papers remain accessible only to authorised persons until the examination is released to students;
- Configuring examination parameters accurately, including examination duration, availability window, marks, question selection, navigation, access restrictions and other settings as instructed by the faculty;
- Uploading and organising questions and question banks as required;
- Conducting systematic pre-examination checks to verify that the examination is configured exactly as approved;
- Conducting a final examination readiness check before release;
- Providing operational support to faculty and the CoE team during examination preparation and the examination;
- Maintaining appropriate records of examination creation, verification and release;
Preparation and production of physical question papers:
- Receiving examination question papers and associated instructions from authorised faculty;
- Formatting question papers according to the University’s prescribed examination format and standards;
- Checking question papers carefully for formatting consistency, numbering, pagination, marks, diagrams, tables, spacing, headers, footers, and other presentation requirements;
- Ensuring that the final question paper represents the approved faculty submission and that no unintended changes are introduced;
- Preparing print-ready examination papers and coordinating printing as required;
- Maintaining strict control over electronic and printed copies of confidential examination materials;
- Ensuring that obsolete, incorrect or duplicate versions are appropriately controlled and disposed of in accordance with examination procedures;
Digitisation of examination answer scripts:
- Digitising/scanning physical examination answer scripts using the prescribed equipment and processes;
- Ensuring that scanned scripts are complete, legible, and correctly sequenced;
- Verifying that every answer script has been digitised and that no pages are missing, duplicated, or incorrectly sequenced;
- Uploading the digitised answer scripts to the LMS;
- Ensuring that each answer script is correctly associated with the appropriate student, course, and examination;
- Performing post-upload verification to ensure that scripts can be retrieved correctly and are accessible only to authorised users;
- Maintaining appropriate records of digitisation and upload activities;
Quality assurance and process control:
- Following established examination procedures, checklists, and security protocols rigorously;
- Performing independent checks before completing or releasing examination-related work;
- Identifying discrepancies, errors, or potential risks promptly and escalating them to the appropriate CoE authority;
- Maintaining accurate records and documentation relating to assigned examination activities;
- Contributing to improving examination processes, checklists, and operating procedures;
- Performing repetitive verification and quality-control activities where required. Examination operations demand consistency and accuracy rather than shortcuts;
Team and stakeholder coordination:
- Working closely with faculty, the CoE team, and other authorised personnel to ensure smooth examination operations;
- Communicating clearly and professionally with faculty and colleagues;
- Clarifying ambiguities or inconsistencies before proceeding with examination-related work;
- Coordinating effectively with team members, particularly during periods of high examination activity;
- Supporting colleagues and contributing positively to the overall functioning of the CoE office;
Others:
- Providing support to other IIHS activities including academics, research, training, practice, operations and others;
- Participating in all activities of Institution-Building at IIHS; carrying out tasks as assigned by IIHS; and traveling on IIHS work within or outside the country as and when needed.
Structure and Reporting The examinations operations specialist will be an External Consultant coordinating with the Controller of Examinations at IIHS and will be required to collaborate effectively with a diverse group of internal teams and external individuals/ organisations, and students.
Person Specification The ideal candidate should have:
- A Bachelor’s degree in any discipline from a recognised institution;
- Unquestionable integrity and an understanding of the importance of confidentiality when handling examination materials and records;
- Strong proficiency in written and spoken English;
- Demonstrated comfort and fluency with computers and commonly used digital applications;
- Willingness and ability to learn and work with the University’s examination systems and processes;
- Attention to detail and an understanding of compliance requirements;
- The ability to work collaboratively with multiple stakeholders;
- Strong communication and interpersonal skills;
- Prior experience working with an LMS would be desirable.

This offer is on an exclusive basis, which implies that other professional assignments (whether compensated or not) that bear a potential conflict of interest with IIHS cannot be undertaken.

Location
This position is based in Bengaluru and may entail travel to other locations in India.
Review and Assessment The role and performance of the incumbent shall be subject to normal review and assessment systems at IIHS.
