The Business Systems Analyst (BSA) – Ironclad CLM will lead business process discovery and translate contracting needs into clear, scalable, and build-ready business requirements.

Working across Legal, Procurement, Commercial, Finance, Digital Solutions, and implementation partners , the BSA will facilitate process decisions, define future-state workflows and system handoffs, support contract migration planning and data requirements, and help establish sustainable governance and operating practices.

The BSA will primarily own business analysis, process design, requirements traceability, stakeholder alignment, testing, and user enablement , while partnering closely with platform administrators, architects, integration engineers, and technical resources responsible for configuration and implementation.

Core Responsibilities

1. Business Systems Analysis & Solution Design

Requirements & Process Discovery

- Lead cross-functional discovery workshops with Legal, Procurement, Commercial, Finance, and technical stakeholders.
- Document current-state processes, pain points, gaps, controls, dependencies, and business requirements.
- Define scalable future-state contracting processes and workflows.
- Facilitate stakeholder discussions and drive alignment on key process and solution decisions.

Discovery & Design Artifacts

- Lead the completion and quality review of Ironclad discovery workbooks and related design artifacts.
- Document and validate requirements related to:
- Workflow discovery
- Launch forms
- Contract properties and metadata
- Approval processes
- Signatures
- Permissions
- Repository requirements
- Workflow feedback and business rules

Requirements & Design Documentation

- Translate business needs into clear and actionable:
- Business requirements
- User stories
- Process maps
- Business rules
- Acceptance criteria
- Functional specifications
- Build-ready design artifacts
- Maintain end-to-end traceability of requirements, assumptions, decisions, risks, dependencies, and open questions throughout implementation.

Workflow Solution Design

- Define business requirements for:
- Contract templates
- Intake and launch forms
- Metadata and properties
- Approval routing
- Standard and fallback clauses
- Permissions
- Negotiation and review workflows
- Partner with the Ironclad Platform Administrator and implementation resources responsible for platform configuration and technical delivery.

Integration Requirements & Process Handoffs

- Define business requirements for integrations and system handoffs, including:
- Triggering events
- Source-of-record ownership
- Field mappings
- Approval dependencies
- Exception paths
- Reconciliation requirements
- Collaborate with architects, administrators, and integration engineers responsible for technical design and implementation.

Testing & Release Management

- Develop UAT scenarios, test scripts, and acceptance criteria.
- Coordinate testing activities with business stakeholders.
- Maintain requirements-to-test and defect traceability.




- Validate that configured solutions meet defined business requirements.
- Support release planning, production readiness, and go-live activities.

1. Ironclad Migration & Data Architecture Participation

Data Architecture Contribution

- Collaborate with technical leads, architects, and Legal Operations to define:
- Contract taxonomies
- Standardized metadata schemas
- Record types
- Parent-child agreement hierarchies
- Repository structures
- Help ensure that data structures support business processes, reporting, governance, and long-term scalability.

Migration Execution Support

- Participate in the end-to-end migration of legacy contracts from existing repositories into the Ironclad Repository.
- Support data mapping, staging, migration planning, and bulk ingestion activities.
- Work with technical teams to validate migration requirements and business rules.

Smart Import & Data Validation

- Support bulk legacy contract imports, including OCR and Ironclad Smart Import.
- Perform or coordinate data cleansing, deduplication, and quality-assurance activities.
- Conduct post-migration data validation and reconciliation to verify accuracy, completeness, and consistency.

1. Change Management, Enablement & Training

Change Impact Execution

- Develop and execute structured change-management activities to transition cross-functional teams from manual or legacy contracting practices to automated, self-service workflows.
- Assess process and role impacts and help stakeholders understand changes to their ways of working.

Role-Based Training Delivery

- Design and deliver live and on-demand training tailored to different user personas, including:
- Sales / Requesters: Intake and self-service contracting
- Legal Counsel: Contract review, negotiation, and redlining
- Approvers: Approval workflows and decision responsibilities

Enablement Collateral

- Develop practical self-service enablement materials, including:
- Quick-reference guides (QRGs)
- Video walkthroughs
- User guides
- Internal wiki documentation
- Process playbooks
- Create materials that reduce routine support needs and enable users to work independently.

Adoption & Feedback Loops

- Monitor post-launch adoption and usage metrics.
- Facilitate user office hours and stakeholder feedback sessions.
- Identify opportunities to improve intake forms, workflows, user experience, and business processes.
- Feed post-launch insights into continuous improvement initiatives.

Required Qualifications

BSA Core Foundation

- 3–5+ years of experience as a Business Systems Analyst, Legal Operations Systems Analyst,



Enterprise Applications Analyst, or similar role.
- Demonstrated experience translating business needs into:
- Requirements
- User stories
- Process maps
- Business rules
- Acceptance criteria
- Functional design documentation

Process Discovery & Facilitation
- Demonstrated ability to lead cross-functional discovery workshops.
- Experience documenting current-state processes, identifying gaps and dependencies, and defining future-state workflows.
- Strong facilitation skills with the ability to drive stakeholder alignment and support effective business decisions.

Migration & Data Architecture Experience
- Experience supporting enterprise or CLM data migrations.
- Understanding of source-data assessment, metadata definition and mapping, data-quality analysis, legacy contract extraction, cleansing, reconciliation, and business validation.
- Ability to work effectively with technical teams while maintaining a robust focus on business requirements and data quality.

Cross-Functional Collaboration
- Strong communication, facilitation, and stakeholder-management skills.
- Demonstrated ability to bridge business and technical teams across functions such as Legal, Procurement, Commercial, Finance, and Digital/Technology .
- Ability to manage competing priorities and drive alignment across diverse stakeholder groups.

Change Management & Enablement
- Proven experience supporting enterprise software implementations or business process transformations.
- Ability to translate process and system changes into practical, role-based guidance.
- Experience developing training, reference materials, and enablement content for non-technical users.
- Demonstrated ability to support adoption of new systems and ways of working.

Preferred Qualifications

Ironclad Platform Experience

- Hands-on experience with Ironclad CLM , including:
- Workflow Designer
- Repository management
- Metadata and properties
- Permissions
- Workflow testing
- Direct Ironclad platform administration experience is beneficial but not required.

Ironclad Certifications
- Ironclad Certified Administrator certification.
- Ironclad Workflow Specialist certification.

CLM Integration Familiarity
- Working knowledge of CLM integrations with enterprise platforms such as:
- Salesforce
- Coupa
- Oracle Fusion
- Microsoft identity services
- DocuSign
- Understanding of integration concepts including data flows, system ownership, field mapping, triggers, and exception handling.

Formal Change Management Experience
- Familiarity with structured change-management methodologies and enterprise adoption practices.
- Experience supporting organizational change, communications, training, and adoption programs.

AI & Advanced Ironclad Capabilities
- Exposure to advanced Ironclad capabilities, including:
- Smart Import
- AI Assist
- Playbooks
- Clickwrap
- Interest in leveraging AI and automation to improve contracting processes, user experience, and operational efficiency.
