Assistant Manager – HR

Department: Human Resources

Reporting To: HR Manager / Senior HR Manager

Location: Kochi, Kerala

Industry: Retail

Experience: 3–6 years

Job Summary The Assistant Manager – HR will be responsible for supporting and managing day-to-day HR operations across stores and Head Office. The role involves employee lifecycle management, attendance and payroll coordination, recruitment, employee engagement, statutory compliance, performance management, and ensuring adherence to company HR policies and procedures.

Key Responsibilities

1. Recruitment & Manpower Planning

- Coordinate recruitment activities for stores and Head Office based on approved manpower requirements.
- Manage sourcing, screening, interviews, selection, and onboarding of candidates.
- Coordinate recruitment of apprentices, trainees, CREs, and other retail staff.
- Monitor store-wise manpower requirements and vacancies.
- Ensure recruitment is carried out within approved manpower budgets.

2. Employee Lifecycle Management

- Manage joining formalities, documentation, induction, transfers, promotions, and exits.
- Ensure employee records and HRMS data are updated accurately.
- Coordinate employee confirmation, probation completion, and related HR processes.
- Handle employee grievances and coordinate appropriate resolutions.

3. Attendance & Payroll Coordination

- Monitor employee attendance, leave, weekly offs, late coming, early leaving, and attendance regularizations.
- Coordinate monthly attendance closure with stores and payroll/finance teams.
- Verify attendance-related inputs before payroll processing.
- Monitor LOPs, single punches, missed punches, and other attendance deviations.
- Ensure timely submission of payroll-related data.

4. HRMS & MIS





- Maintain accurate employee information in the HRMS.
- Generate and review HR reports related to manpower, attendance, attrition, recruitment, and employee movements.
- Maintain HR records, trackers, and MIS reports.
- Ensure data accuracy and timely completion of HRMS activities.

5. Statutory Compliance

- Coordinate statutory HR activities related to ESI, PF, Professional Tax, Shops & Establishment, and other applicable compliances.
- Ensure timely collection and verification of required employee documents.
- Coordinate with internal teams and external agencies for statutory registrations and compliance requirements.

6. Performance Management

- Coordinate appraisal and performance evaluation processes.
- Follow up with Store Managers and reporting managers for timely completion of appraisal activities.
- Maintain performance-related records and assist in identifying employee development requirements.

7. Employee Engagement & Retention

- Support employee engagement initiatives and recognition programs.
- Monitor employee concerns and support retention initiatives.
- Analyze attrition trends and coordinate corrective actions with business teams.
- Conduct employee interactions and store visits when required.

8. HR Operations & Store Support

- Conduct regular HR visits to stores to monitor HR processes and policy compliance.




- Ensure implementation of company HR policies across locations.
- Identify HR-related issues at stores and coordinate with the concerned departments for resolution.
- Support management in implementing recent HR initiatives and processes.

9. Policy & Process Implementation

- Communicate HR policies, procedures, and management instructions to employees.
- Ensure proper implementation of HR policies across stores.
- Monitor deviations and escalate critical issues to the HR Manager/Management.

Key Skills & Competencies
- Strong knowledge of HR operations and retail HR practices.
- Good understanding of attendance and payroll processes.
- Knowledge of PF, ESI, PT, and other statutory compliances.
- Good communication and interpersonal skills.
- Strong follow-up and coordination skills.
- Analytical and problem-solving ability.
- Proficiency in MS Excel and HRMS.
- Ability to manage multiple stores and priorities.
- Strong employee-handling and grievance-management skills.
- Ability to work under deadlines and handle confidential information.

Educational Qualification
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- MBA/PGDM in HR is preferred.

Pay: ₹25,000.00 - ₹40,000.00 per month
