Assistant Facility Manager (AFM) – Technical

Integrated Facilities Management | Commercial Buildings & Campuses | Technical Operations

Position Details

Department: Technical Operations

Location: Airoli, Mumbai & Hinjewadi, Pune

Reporting To: Facility Manager – Technical

Role Coverage: Day-to-day technical operations, maintenance execution, and site team supervision

Key Requirement: Relevant technical qualification; electrical supervisor licence/competency certification where required for assigned duties and applicable regulations

1. Role Purpose

Support the Facility Manager – Technical in executing day-to-day engineering and maintenance operations across the assigned commercial building or campus. Ensure timely preventive and corrective maintenance, safe operation of building systems, effective technician and vendor supervision, and delivery of client service levels, statutory requirements, and IFM procedures.

2. Key Responsibilities

Daily Technical Operations & Maintenance

- Monitor day-to-day operation of electrical, HVAC, mechanical, plumbing, fire and life safety, BMS, and other building utility systems.
- Support operation and maintenance of HT/LT panels, DG sets, UPS, transformers, chillers, AHUs, VRF/VRV systems, pumps, lifts, and other assets as applicable.
- Execute and monitor preventive, predictive, and corrective maintenance schedules; ensure work orders and maintenance checklists are completed accurately.
- Attend breakdowns, coordinate troubleshooting, and ensure timely restoration of services within agreed response and resolution timelines.
- Maintain equipment logbooks, asset records, shift handover reports, and technical documentation.





Electrical Safety & Statutory Support

- Ensure electrical maintenance and switching activities are carried out only by authorised, competent, and appropriately licensed personnel.
- Follow applicable electrical safety procedures, PTW, LOTO, isolation, testing, earthing, and protected work practices.
- Support the Facility Manager in maintaining statutory certificates, inspection records, permits, and licence renewal trackers.
- Immediately report electrical hazards, unsafe conditions, incidents, and compliance gaps to the Facility Manager and EHS team.
- Support statutory inspections, technical audits, and closure of observations within assigned timelines.

Team & Vendor Supervision

- Supervise technicians, operators, and service partners during daily maintenance and operational activities.
- Monitor attendance, shift deployment, task allocation, work quality, and completion of assigned activities.
- Conduct toolbox talks, safety briefings, and on-the-job guidance in coordination with the Facility Manager and EHS team.
- Coordinate vendor visits, service calls, maintenance activities, and work completion verification.
- Ensure contractors comply with site access rules, PTW requirements, EHS procedures, and client protocols.

Client Service & IFM Delivery

- Coordinate with client representatives and helpdesk teams for technical complaints, service requests, and maintenance updates.
- Track open work orders and complaints and provide timely status updates to the Facility Manager.
- Support delivery of contractual scope, technical SLAs, KPIs, and client service standards.
- Assist with site inspections, client walkthroughs, audit preparation, and timely closure of technical observations.
- Maintain professional communication and escalate service disruptions or client concerns promptly.

Energy, Projects & Documentation

- Monitor utility consumption, equipment operating parameters, and abnormal energy or water usage; report improvement opportunities.
- Support minor technical works, equipment replacements, shutdowns, testing, commissioning, and handover activities.




- Assist in maintaining spare parts and consumables inventory and raise timely requirements to the Facility Manager.
- Update daily, weekly, and monthly maintenance reports, checklists, breakdown trackers, and technical MIS.
- Support implementation of approved cost-saving, energy conservation, and continuous improvement initiatives.

3. Key Performance Indicators

- Completion of assigned preventive maintenance and daily checklists within scheduled timelines.
- Timely response, escalation, and closure of breakdowns and technical service requests.
- Compliance with site safety procedures, PTW/LOTO, and assigned statutory documentation requirements.
- Accuracy and timely submission of maintenance records, work orders, and shift reports.
- Timely closure of audit observations and maintenance-related corrective actions assigned.
- Effective supervision of technicians and vendors and adherence to client service standards.

4. Qualifications & Experience

- Diploma or degree in Electrical, Mechanical, or related Engineering discipline.
- Typically 4–8 years of relevant experience in technical facility management, building maintenance, or IFM operations.
- Experience in commercial buildings, corporate offices, IT parks, or campus facilities preferred.
- Practical knowledge of electrical distribution, HVAC systems, DG/UPS, pumps, BMS, and building utility operations.
- Knowledge of EHS procedures, PTW, LOTO, preventive maintenance, and statutory compliance documentation.
- Electrical Supervisor Licence / competency certification required where mandated for the specific assigned duties, installation, and jurisdiction; must not perform or supervise licensed work beyond authorised competency.

5. Key Skills

- Hands-on technical troubleshooting and maintenance coordination.
- Ability to supervise technicians and coordinate service vendors.
- Understanding of safety procedures, risk assessment, and emergency response.
- Good communication, teamwork, client coordination, and reporting skills.
- Working knowledge of CAFM/CMMS, maintenance trackers, and MS Excel.

Primary Accountability Ensure effective day-to-day execution of technical maintenance and facility operations, safe working practices, timely service restoration, accurate maintenance documentation, and responsive support to the Facility Manager – Technical in meeting client and IFM contract requirements.
