POSITION DESCRIPTIONAdmin Officer – Solar & Battery OperationsCompany: Eco Aspire Energy | Location: Remote – India | Employment: Full-time
Salary: Approximately ₹35,000/month, negotiable | Reports to: Managing Director / Operations Manager
Position PurposeEco Aspire Energy is a Melbourne-based Australian solar and battery retailer and installer. We are seeking a proactive, organised and reliable Admin Officer to support daily operations and coordinate customer projects from initial enquiry through installation, network approvals, compliance documentation and final handover.
Key Responsibilities
- Customer &
• Project Administration: Maintain accurate customer files, CRM records and project statuses; collect documentation, track outstanding tasks and provide timely project updates.
- Customer Service: Communicate professionally with Australian customers by phone and email, confirm appointments, follow up missing information and escalate complaints or technical matters.
- Installation Coordination: Coordinate installation schedules with customers, installers and electricians; confirm site access, equipment availability and project readiness; follow up installation completion.
- Supplier &
- Logistics Coordination: Track product availability, purchase orders and deliveries; follow up supplier pricing, delays, missing items and delivery arrangements.
- Network Approvals &
- Compliance: Track electricity distributor applications, network approvals, meter upgrades, Certificates of Electrical Safety (COES), Solar Victoria documentation and other required records.
- Sales &
- CRM Administration: Enter and allocate new leads, monitor sales follow-ups,
assist with quotations and identify missed enquiries or inactive projects.
- Accounts Administration: Assist with customer invoicing, payment follow-ups, supplier invoices and maintaining accurate Xero records.
- Project Handover &
- After-Sales: Follow up outstanding certificates, approvals, customer handover documents, warranty claims and service requests.
- General Administration: Manage emails, electronic filing, spreadsheets, reports and administrative process improvements.
Key Performance Indicators
- Accurate and up-to-date CRM, customer, project and Xero records.
- Prompt follow-up of leads, customers, suppliers, approvals and outstanding documentation.
- Professional customer communication and timely project updates.
- Installations properly coordinated with required information and equipment available.
- Compliance documentation and project handovers followed through to completion.
- Problems identified early, escalated promptly and tasks completed without repeated reminders.
Essential Skills & • Experience
- Previous administration, customer service or operations coordination experience.
- Excellent spoken and written English, with confidence communicating with Australian customers.
- Strong organisation, attention to detail, communication and follow-up skills.
- Ability to manage multiple tasks independently and meet deadlines.
- Computer proficiency, including Microsoft Office/Google Workspace and CRM systems.
- Reliable internet, suitable computer equipment and a professional remote-working environment.
Desirable: Solar and battery industry experience, electrical installation administration, Australian network approvals, Solar Victoria processes, COES documentation, Pylon CRM, Xero, supplier coordination and logistics. Working Hours – Mandatory RequirementThis is a full time remote position based in India. Working days are Monday to Saturday, with an early morning shift that may start as early as 4:30 AM IST and must finish no later than 2:00 PM IST. The employee must maintain reliable attendance and availability during the agreed shift to support Australian business operations, including applicable daylight saving changes.

The role is administrative and coordination-focused; technical electrical decisions must be referred to qualified team members.
