PO & Sales Coordination Executive

JOB DESCRIPTION

Role Purpose

To ensure accurate and timely processing of customer POs, part-code creation/mapping, SO booking,

dispatch coordination and billing, while ensuring that PO, SO, DC and Sales Invoice details are correctly

matched.

Key Responsibilities

 Receive and track customer POs.

 Ensure that required POs are received and properly documented.

 Coordinate for creation of new part codes wherever required.

 Verify that part codes in the PO, SO, DC and Sales Invoice are correctly matched.

 Identify and resolve part-code discrepancies before billing/dispatch.

 Track the time taken from PO receipt to SO booking.

 Track SO booking to material dispatch.

 Coordinate with Sales, Stores, Accounts/Billing and relevant teams for timely processing.

 Maintain a centralized PO tracker with current status.

 Track pending POs, pending SOs, pending dispatches and pending billing.

 Highlight delays and pending cases to the concerned team/management.

 Ensure that no PO is missed or left unprocessed.





 Maintain proper documentation and records of PO-related transactions.

 Prepare periodic MIS on PO status, ageing, SO booking, dispatch and billing.

Key Performance Indicators (KPIs)

 PO tracking and closure accuracy.

 PO-to-SO booking TAT.

 SO-to-dispatch TAT.

 Number/value of pending POs.

 Part-code mismatch/error rate.

 Percentage of POs processed within defined TAT.

 Billing/dispatch errors due to PO or part-code mismatch.

Basic Requirements

 Graduate with good coordination and documentation skills.

 Valuable working knowledge of MS Excel/Google Sheets.

 Ability to track multiple orders and follow up with different teams.

 Good attention to detail, especially for part codes and quantities.

 Prior experience in order processing, sales coordination, billing or operations would be preferred.

Pay: ₹10,000.00 - ₹20,000.00 per month
