Job Purpose
The Quality & Dispatch Controller will be responsible for ensuring that every order leaving the JUMCO warehouse is correctly picked, checked, packed, loaded and dispatched according to the customer order.
The person will act as the final checkpoint before goods leave the warehouse.
Key Responsibilities1. Quantity & Order Verification
- Verify all products against the approved customer order/invoice before loading.
- Check product name, SKU, quantity, weight and number of bags/cartons.
- Ensure there are no shortages, excess quantities or wrong products.
- Verify packed quantities against the dispatch list.
- Confirm that special customer requirements are followed.
2. Product Quality Checking
Before dispatch, check:
- Product appearance and physical condition.
- Packaging condition.
- Manufacturing/packing date where applicable.
- Best-before/expiry date.
- Batch number where applicable.
- Weight of bags/packages.
- Signs of moisture, infestation, leakage, damage or contamination.
- Cleanliness and overall condition of the product.
For grocery products such as rice, dhal, pulses, atta, maida and grains, immediately report any visible quality issue to the warehouse/procurement team.
3. Vehicle Loading Verification
- Check that the correct vehicle is assigned for the delivery.
- Verify vehicle number before loading.
- Ensure products are loaded according to the delivery route/customer sequence.
- Ensure fragile or sensitive products are handled appropriately.
- Ensure bags/cartons are stacked safely.
- Prevent product damage during loading.
- Ensure the vehicle is clean and suitable for food-product transportation.
- Confirm that all items mentioned in the dispatch list have actually been loaded.
4. Final Dispatch Check
Before the vehicle leaves:
- Cross-check invoice/dispatch document with actual goods.
- Complete the dispatch checklist.
- Confirm total number of bags/cartons/packages.
- Verify special instructions.
- Take photographs of the loaded vehicle when required.
- Obtain/sign the final dispatch confirmation.
- Report discrepancies immediately to the supervisor/manager.
5. Stock & Warehouse Coordination
- Coordinate with warehouse staff, pickers and loaders.
- Report damaged or questionable stock.
- Identify repeated picking/packing errors.
- Help maintain proper FIFO/FEFO practices wherever applicable.
- Ensure products are stored and handled appropriately before dispatch.
- Inform management about recurring quality or stock issues.
6. Customer Complaint Support
When a customer reports:
- Wrong product
- Short quantity
- Damaged package
- Quality issue
- Missing item
the Quality & Dispatch Controller should help trace the invoice, batch, dispatch record and loading details to identify where the issue occurred.
