Role: Executive / Assistant Manager Banking Operations & Payments
Reports to: Accounts Manager
Location: Delhi NCR
Role Overview
Run the company's day-to-day banking and incoming/ outgoing payments end to end accurate, on time, correctly authorised, correctly booked, and fully reconciled.
Key responsibilities
Payment processing
- Process vendor, employee, statutory and utility payments through corporate net banking within agreed payment run cycles
- Verify every payment against a three-way check — approved invoice, PO/work order, and receipt/GRN — before release
- Validate beneficiary details against the vendor master; ensure no payment goes to an unverified or newly changed bank account without independent confirmation
- Maintain the payment approval trail as per the delegation of authority matrix; ensure maker-checker discipline on every transaction
- Handle foreign remittances where applicable — Form 15CA/15CB coordination, FIRC follow-up
Bank operations
- Manage day-to-day operations across all current accounts — cheque issuance and custody, DD/PO requests, stop payments, standing instructions
- Handle bank guarantees, LCs, security deposits and margin money — issuance, amendment, expiry tracking and timely release follow-up
- Process banking documentation: account opening, signatory changes, mandate updates, KYC refreshes, net banking user administration
- Act as first point of contact for the bank's relationship and operations teams for routine queries
Reconciliation and controls
- Perform daily bank reconciliation across all accounts; investigate and explicit unreconciled items within defined ageing limits
- Reconcile payment gateway / credit cards/ collection account settlements to the books where applicable
- Ensure all bank transactions are booked in the ERP with correct ledger, cost center and product code tagging on the same day
- Maintain the bank charges register and challenge incorrect or excessive charges with the bank
Cash flow and reporting
- Prepare the daily bank position and fund availability statement
- Maintain a rolling payment schedule and flag funding shortfalls ahead of the payment run
- Report weekly on payments made, payments held and reasons, and outstanding banking items (BGs expiring, deposits due for release, long-pending reconciling items)
- Support monthly close with bank confirmations, balance certificates and interest/charge accruals
Records and audit
- Maintain complete, retrievable documentation for every payment and banking instruction
- Provide schedules and evidence to statutory, internal and tax auditors
Key performance indicators
- Zero incorrect-beneficiary or duplicate payments
- Bank reconciliations completed daily; unreconciled items older than 30 days at nil
- Same-day booking of bank entries in the ERP with correct cost center tagging
- Clean audit observations on the banking and payments cycle
Qualifications and experience
- B.Com / M.Com / CA Inter, or equivalent
- 5–7 years in accounts payable, banking operations or treasury operations; experience in a company with multiple bank accounts and vendor volumes preferred
- Hands-on with corporate net banking portals, bulk payment file uploads, and an accounting ERP (Zoho Books)
- Working knowledge of TDS and GST as they affect payment release
- Strong Excel — lookups, pivots, reconciliation workings
- Meticulous; treats a mismatched rupee as a problem to be found, not rounded off
- Comfortable holding a payment when documentation is incomplete, including under pressure from a requester
