The Young Apprentice performs most basic, routine tasks/assignments. Works under direct supervision with detailed procedures. May service a very limited number of products/services. Applies knowledge of routine work area procedures. Completes standardized activities. Exchanges basic information with other co-workers. Resolves task related problems in straightforward situations. Selects from a limited number of clearly defined options.
Responsibilities:
- 1. New Hire Onboarding (NHO) Management:
- Conduct recent hire induction sessions every Monday. Prepare and organize induction materials, including Human Bingo sheets and lunch coupons.
- Distribute and track completion of NHO surveys, gathering feedback and ensuring all attendees participate.
- Serve as a primary liaison with IT, RES, BOSS, and CSIS teams to arrange new hire essentials such as laptops, logistics, refreshments, and access cards.
- 2. Procurement to Pay (P2P) Process:
- Obtain quotations from vendors. Consult with Finance team for commodity codes and categories required for Purchase Requisition (PR) creation.
- Raise PRs with the correct category, commodity code, and necessary attachments.
- Verify the quantity and quality of items received from vendors.
- Track and manage PO payments for invoices related to site events, merchandise, or visiting cards, coordinating with the accruals team.
- 3. Events & Employee Engagement Activities:
- Coordinate with vendors for event materials and trophies.
- Provide on-floor coordination and support for various events, including managing logistics and gate passes. Capture event photographs and create collages for display (board, monthly, or event-specific).
- Send bulk gratitude messages on behalf of management for participants and volunteers.
- 4. Visitor Management:
- Book meeting rooms, specifically on the 15th floor and other designated areas, for full-day visitor use.
Coordinate refreshment, lunch, and snack menus with catering teams in advance.
- Communicate visitor agendas to the Audio Video, BTSS, RES, and CSIS teams for VC testing, refreshments, cleanliness, and access arrangements in NKP and other building floors. Print agendas and conduct pre-meeting room checks to ensure everything is in order.
- 5. Expense Reimbursement (Concur):
- Collect and process petrol bills for reimbursement for specified personnel on a monthly basis. Coordinate travel arrangements, including booking flights, hotel rooms, and cabs, by gathering accurate date, time, and location details. Process travel expense reimbursement requests upon receiving all hardcopy bills post-travel.
- 6. Visa Letter and Other Document Preparation:
- Prepare visa letters for travelers to India, ensuring they are in the proper format, obtaining Marisa's signature, affixing the company seal, and sending scanned copies to travelers.
- Handle various documents requiring signatures (e.g., ICDs, MOM, CLRA, CSIPL documents) for specified personnel (e.g., Amin), ensuring proper verification with respective POC’s before obtaining signatures, applying the company seal, and sending to the respective persons.
- 7. General Administrative Work:
- Maintain accurate physical counts of site and workgroup merchandise, welcome kits on a monthly or quarterly basis.
- Maintain physical, scanned, and Excel records of attendee lists for all events.
Organize and label physical documents filed or kept in envelopes.
- Send bank kiosk emails at the end of every month.
Qualifications:
- Strong written and verbal communication skills, capable of interacting effectively with diverse stakeholders including new hires, managers, vendors, and cross-functional teams.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint) is required.
- Demonstrated ability to work independently, exercise good judgment, and take initiative.
- Customer-centric approach with a proactive attitude toward problem-solving.
- Experience in vendor coordination and management.
Education:
- High school diploma or equivalent experience
