Role Overview

We are seeking a highly proactive, organized, and commercially sharp Vendor Operations Executive to own our end-to-end production lifecycles, supply procurement, and event fabrication tracks. Operating in a high-ownership environment, you will act as the primary bridge between our creative design teams, operational frameworks, and external manufacturing networks.

The ideal candidate brings hand-on production decision-making, management and tracking in commercial printing, technical packaging substrates, and specialized collectibles supply chains. You must possess excellent negotiation skills to optimize organizational procurement costs while scaling structural quality metrics.

? Key Responsibilities & Core Duties

? Vendor Sourcing, Onboarding & Category Ownership

- Source, evaluate, and onboard trusted production vendors across packaging, specialized printing, and collectible supply categories (Domestically and Internationally).
- Build and sustain a resilient pipeline of fabrication, print, and supply partners tailored to a fast-paced D2C collectibles footprint.
- Gradually expand operational ownership to manage corporate relationships with external freelance photographers, videographers, event management agencies, and creative production houses.

? Strategic Negotiation & Contract Management

- Exercise exceptional negotiation skills to secure highly competitive pricing structures, adaptable payment frameworks, and robust service level agreements (SLAs) without compromising material benchmarks.




- Maintain comprehensive operational sheets utilizing Excel or Google Sheets to track costing grids, purchase orders, material inputs, and production timelines.

?️ End-to-End Production & Quality Control

- Own production pipelines from original brief and technical specification finalization through pilot testing, manufacturing follow-up, and final delivery logistics.
- Lead rigorous quality check protocols for all new supply inventory and production runs before items are officially cleared for business integration.

? Event, Convention & Marketing Support

- Coordinate dedicated vendor timelines and structural components for corporate events, conventions, and exhibitions across India.
- Supervise the timely fabrication and deployment of custom display units, promotional stands, backdrops, and specialized event marketing collaterals.
- Maintain real-time visibility across internal stakeholders—proactively updating the design, operations, and founding teams regarding production tracks, pipeline milestones, and potential delivery risks.

Must-Have Metrics:

- Experience Bracket: 3 to 5 years of active professional experience across vendor management, corporate procurement, or production coordination functions. Hand-on exposure within printing, packaging, or marketing production landscapes is heavily preferred.
- Technical Tool Proficiency: Additionally, candidates must possess a perspective on learning and utilizing AI tools (such as ChatGPT, Claude, or specialized data analytics extensions) to accelerate reporting workflows, analyze vendor quotes efficiently,



and optimize procurement data strategies. While using that AI knowledgebase to Fastrack a Strong functional command of Excel or Google Sheets for managing purchase orders, inventory data tracking, project timelines, and margin calculations.
- Travel Mobility: Complete willingness and physical ability to travel for company conventions, industry events, and printing plant visits across India as required.
- Geographic Alignment: Current baseline residency in Noida, or a firm willingness to work full-time directly out of our Noida corporate facility.

- An active, pre-established corporate network of vendors across domestic printing houses, rigid-box packaging suppliers, or retail POP/display fabrication workshops.
- Prior functional experience navigating the rapid growth mechanics of a D2C brand or an established e-commerce system.
- Personal familiarity, interest, or cultural alignment with TCG (Trading Card Games), anime landscapes, gaming communities, or broader fandom collectibles markets.
