3. Role purpose
Manastu Space is seeking a Store In-Charge to build the store function and then run it. Material today is held as an additional duty by the purchase engineer. There is standard & documented store function as of today and physical stock reconciliation is also not UpToDate against a book record.
The role holder will assess what we hold, design the receiving and inspection process around it, write the procedures, address and code the store, tag and verify the assets, and put batch and lot traceability under material that ends up in flight hardware.
4. Key responsibilities
Store design, procedures and documentation — the primary responsibility
- Take handover of the material function from the interim holder, assess the existing arrangement, material flow and documentation, and identify the gaps in receiving, storage, issue, return and stock control.
- Establish the end to end process as per industry standard, documents all the store procedures for receipt, goods receipt note, inspection, storage, issue, return, rejection, scrap and stock reconciliation, and keep them under periodic review.
- Classify material by inspection need — document check, dimensional or functional check, or test certificate — and define who clears each and what happens to a rejection.
- Deploy 5S across the store with defined areas for raw material, consumables, components, chemicals, tools, rejected and quarantine stock, and project material.
Receiving, inspection and non-conforming material
- Operate an independent receiving point: nothing enters stock without inspection against the purchase order and a signature.
- Raise and maintain goods receipt notes, and route discrepancies to Procurement within one working day.
- Hold material pending clearance where documentation, inspection or specification is incomplete, and release only on the record.
- Segregate scrap, rejected and expired material from usable stock, and hold custody of it.
- Quarantine non-conforming material and route it to the named technical authority for disposition — the store holds, it does not judge.
- Maintain disposition and disposal records, including for chemical and contaminated scrap routed through an authorised handler, with manifests retained.
Storage, shelf life and material conditions
- Maintain defined storage conditions for chemicals, ESD-sensitive components and cleanroom material — separation from incompatible material, condition limits, and records showing the conditions were maintained.
- Track expiry dates, arrange storage first-expiry-first-out, and quarantine time-expired material physically and in writing.
- Keep the store safe and orderly, with housekeeping, identification and location marking sustained rather than restored before an audit.
Issue, outward movement and traceability
- Issue nothing without a record against a named requester and a job or campaign.
- Raise gate passes and delivery challans from the store so that material leaving the site is recorded.
- Establish and maintain batch, lot and serial traceability for flight-relevant material — backwards to the goods receipt note and the supplier test certificate, forwards to what it was issued against.
- Reconcile material issued to the test site on return, and keep site assets on the register.
Inventory control, stock accuracy and assets
- Run the stock registers, material coding and location-wise inventory, with regular physical verification.
- Operate cycle counting on a published schedule and report stock record accuracy monthly against an agreed target.
- Set reorder point, minimum–maximum levels, minimum order quantity and safety stock for fast-moving consumables, so shortages are identified in planning rather than at the point of use.
- Identify dead and slow-moving stock,
quantify the working capital held in it, and recommend disposal.
- Tag and physically verify capital assets at every facility, and reconcile the register against what is actually there.
- Maintain annual maintenance contract and warranty dates on one tracker, with service reminders issued to Maintenance.
Systems and reporting
- Own the material and inventory process flow, and prepare the requirement specification for the material and inventory modules of the planned ERP in a form a consultant can build from.
- Issue a monthly stock report on a fixed date: stock status, shortages, excess, ageing, slow and non-moving material, and discrepancies.
- Support internal and external audits — statutory, grant utilisation, customer and agency — from records maintained continuously rather than assembled on request.
5. Essential qualifications and experience
- Bachelor’s degree — Engineering, Materials Management or Supply Chain.
- 5 years running a store or inventory function in a pharmaceutical, chemical, defence or precision engineering workplace.
- You have set up a store, a stock system or an incoming inspection process from nothing — not only operated one that somebody else built — with procedures and registers you wrote yourself that other people still use. This is the single most important requirement for this role.
- Hands-on custody of hazardous or controlled material — chemicals, flammables or oxidisers — with the storage conditions, segregation, shelf-life control and disposal records that go with them.
- Traceability discipline: batch, lot, heat number and serial tracking, supplier test certificates on file, and the ability to trace a part from receipt to the job it was used on.
- Physical stock counting and reconciliation, with stock record accuracy figures before and after that you can quote, and the inventory planning that follows — reorder level, minimum–maximum, minimum order quantity and safety stock.
- Ownership of a module within an ERP or inventory system — material master, inventory transactions or goods movement — rather than data entry into one. Tally and advanced Excel alongside.
Desirable
- Exposure to AS9100, ISO 9001 or an equivalent quality system.
- Working knowledge of the hazardous waste rules, manifest requirements and the e-waste route.
