The Procurement Manager will be responsible for managing the end-to-end procurement and supply coordination of finished pharmaceutical formulations. The role will work closely with internal teams and approved manufacturers to translate business and tender requirements into timely and reliable supply.
The position will coordinate activities from supplier engagement and tender support through purchase order placement, production planning, samples, artwork, approvals, dispatch documentation and payment coordination. The role will focus on securing agreed commercial and supply terms, maintaining visibility of lead times and supplier commitments, and ensuring all required information and documentation are complete and submitted within agreed timelines
Key Responsibilities:
Procurement & Supplier Management
Manage day-to-day procurement activities with approved manufacturers and suppliers of finished formulations.
Coordinate supplier communication, commercial discussions and tender-related requirements through to award.
Obtain and consolidate supplier quotations, lead times, availability, production timelines and other required commercial information.
Secure agreed pricing, payment terms, lead times, production commitments and other commercial and supply conditions.
Build and maintain strong relationships with suppliers, negotiating favorable terms and ensuring reliable supply of raw materials.
Monitor supplier performance, ensuring an on-time delivery rate of over 95% with minimal delays.
Conduct regular strategic meetings with key suppliers (quarterly or annually) to evaluate performance, foster partnerships, and address any issues.
Escalate significant supplier or supply issues through the appropriate internal channel
Analyse the supply situation and gather Market Intelligence on products before Tenders and at all times.
Negotiate best supply prices, conditions & supply plans with approved vendors to improve outcomes for Tender bidding.
Work closely with the Tender, Sales and Supply Chain teams to understand demand, tender requirements and confirmed orders.
Translate business requirements into an appropriate procurement and supply plan.
Assess supplier lead times, production capacity and delivery timelines when planning orders.
Prepare and issue purchase orders, ensuring quantities, pricing, delivery terms and other agreed conditions are accurate.
Obtain supplier confirmation of orders, production slots and committed delivery dates.
Maintain accurate PO trackers and provide regular visibility on outstanding orders and expected deliveries.
Proactively identify potential supply gaps and recommend appropriate actions.
Work with vendors to meet tender submission requirements, ensuring compliance & adequate sample coordination for bids before time.
Execute the purchasing of all FDFs (Finished Dosage Forms), from trusted sources, ensuring quality, price, and timeliness.
Attend overseas exhibitions and trade shows to identify new business opportunities and expand the supplier network.
Collaborate with internal teams, including planning,
regulatory, artwork, and design, to resolve any issues related to packaging, artwork, or supply.
Work with CMOs, logistics, and distribution partners to ensure timely and accurate product delivery to customers.
Support demand forecasting and planning processes to improve operational efficiency and meet customer demand.
Implement processes to continuously improve procurement and supply chain efficiency.
Collaborate with shipping departments to ensure timely deliveries and optimize shipment arrangements.
Maintain clear communication between internal stakeholders and external manufacturers throughout the procurement cycle.
Stay up to date on industry trends and regulatory changes that may impact procurement or supplier relationships.
Qualifications:
- Proven experience in procurement, supply chain management within the pharmaceutical or healthcare industry.
- Strong negotiation and supplier management skills.
- Experience with supplier evaluations, and contract negotiations.
- Excellent communication and collaboration skills with external and internal cross-functional teams.
- Ability to attend and represent the company at international trade shows and exhibitions.
- Willingness to travel to meet suppliers / vendors.
Skills:
- Strong analytical and problem-solving abilities.
- Ability to manage multiple projects simultaneously and meet tight deadlines.
- Knowledge of demand forecasting, inventory management, and procurement best practices.
- Familiarity with regulatory requirements and compliance in the pharmaceutical sector is a plus
- Ability to work in a quick paced environment.
