Founder’s Office & Studio Operations Manager

About the RoleThat Design Studio is looking for a highly organised, proactive and dependable Founder’s Office & Studio Operations Manager to work closely with the Founder and support the day-to-day functioning of the studio.
This is a multi-functional role spanning Founder’s Office, HR, administration, accounts coordination and studio operations. The ideal candidate is someone who can keep track of multiple moving parts, follow things through to completion, communicate confidently with the team and external stakeholders, and anticipate what needs to be done before being asked.
You will work closely with the Founder and become an important part of how the studio operates behind the scenes.
Key ResponsibilitiesFounder’s Office / Personal Assistant
- Manage the Founder’s calendar, meetings, appointments and day-to-day schedule.
- Coordinate meetings with clients, consultants, vendors and other stakeholders.
- Follow up on tasks, conversations and commitments on behalf of the Founder.
- Prepare meeting notes, maintain action points and ensure follow-ups are closed.
- Handle correspondence, calls and day-to-day communication where required.
- Assist with travel planning, bookings and other logistical requirements.
- Maintain confidentiality across business and personal matters.
- Help the Founder stay organised across multiple projects and priorities.
HR & Team Management
- Coordinate recruitment, interviews, joining formalities and onboarding.
- Maintain employee records,
attendance and leave tracking.
- Assist with payroll coordination and employee documentation.
- Coordinate appraisals, feedback cycles and internal communications.
- Help maintain studio policies and ensure basic processes are followed.
- Act as a point of coordination between the Founder and the team.
Administration & Studio Operations
- Manage day-to-day studio administration and office requirements.
- Coordinate with vendors, service providers and building management.
- Maintain records, documents and important studio information.
- Manage office supplies, subscriptions and recurring requirements.
- Help streamline systems and processes within the studio.
- Keep track of deadlines, renewals, payments and operational requirements.
Accounts & Finance Coordination
- Coordinate with the accountant / CA for invoices, payments and documentation.
- Maintain records of expenses, bills, reimbursements and petty cash.
- Follow up on client invoices and outstanding payments.
- Assist with preparing payment schedules and basic financial reports.
- Ensure bills, vendor payments and documentation are tracked and followed through.
- Maintain organised financial records for the studio.
- What We’re Looking For
- 2–5 years of experience in operations, administration, HR, executive assistance, studio management or a similar role.
- Excellent organisational and follow-up skills.
- Strong written and verbal communication.
- Comfortable handling confidential information.
- Ability to multitask and manage changing priorities.
- Strong attention to detail.
- Comfortable working with numbers, invoices and basic accounts.
- Good command of Google Workspace / Microsoft Office.
- Ability to work independently and take ownership rather than waiting for instructions.
- A calm, practical and solution-oriented approach.
- Someone who is comfortable working in a fast-paced, creative studio environment.
This Role Is For You If…You are the person who remembers the meeting, follows up on the invoice, checks whether the new employee has been onboarded, calls the vendor who hasn't delivered, updates the Founder, and somehow still knows what needs to happen next.
You don't need to be an expert in everything. You need to be organised, resourceful, trustworthy and very good at getting things done.
