Position Overview The Assistant Manager will support the overall management and daily operations of the veterinary hospital, ensuring excellent patient care, smooth team coordination, high client satisfaction, and sustainable business growth.

The ideal candidate should be a genuine dog and cat lover, have strong team-handling and leadership skills, excellent communication abilities, and a proven ability to drive sales, improve client retention, and increase hospital revenue.

Key Roles & Responsibilities

1. Hospital Operations

- Assist the Hospital Manager/Veterinarian in managing day-to-day hospital operations.
- Ensure smooth functioning of reception, consultation, pharmacy, laboratory, grooming, boarding, and other hospital services.
- Monitor daily appointments, patient flow, admissions, discharges, and follow-ups.
- Ensure the hospital is clean, organized, hygienic, and maintained to professional standards.
- Monitor availability of medicines, consumables, pet food, and other essential supplies.
- Coordinate with vendors and support timely procurement when required.
- Ensure hospital policies, SOPs, and service standards are followed by the entire team.

1. Team Management & Leadership

- Lead, motivate, and coordinate the hospital team, including receptionists, veterinary assistants, nurses, attendants, groomers, and support staff.
- Prepare and manage staff schedules, shifts, leave plans, and daily responsibilities.
- Conduct regular team meetings and communicate targets, priorities, and operational updates.
- Monitor employee performance and provide constructive feedback.
- Train new employees on hospital processes, customer service, pet handling, and workplace standards.
- Resolve team conflicts and maintain a positive, professional working environment.
- Ensure adequate staffing during peak hours and emergencies.
- Take ownership of team discipline, punctuality, grooming, and skilled conduct.

1. Pet Care & Customer Experience





- Must have a genuine love and compassion for dogs and cats and demonstrate patience while handling pets.
- Ensure pets are handled safely, gently, and respectfully at all times.
- Maintain high standards of pet safety, comfort, hygiene, and welfare.
- Ensure pet parents receive a warm, professional, and empathetic experience.
- Handle customer complaints and concerns promptly and professionally.
- Follow up with pet parents after consultations, procedures, surgeries, admissions, and other treatments when required.
- Build strong relationships with pet parents to encourage long-term loyalty.

1. Sales & Revenue Growth

- Take active responsibility for achieving monthly sales and revenue targets.
- Identify opportunities to increase revenue through consultations, vaccinations, diagnostics, surgeries, pharmacy, grooming, boarding, pet food, preventive healthcare, and other relevant services.
- Encourage appropriate cross-selling and up-selling based on the pet's genuine healthcare needs.
- Improve conversion of enquiries, appointments, diagnostics, procedures, and other hospital services.
- Follow up with inactive and existing customers to encourage repeat visits and preventive care.
- Promote vaccination schedules, annual health check-ups, dental care, parasite prevention, grooming, nutrition, and other appropriate services.
- Monitor daily and monthly sales performance and identify areas for improvement.
- Work with the management team to develop local promotions, packages, campaigns, and customer-retention initiatives.
- Build relationships with pet communities, breeders, pet stores, groomers, trainers, and other relevant local partners to generate referrals.

Customer Relationship Management

- Maintain strong relationships with existing pet parents.
- Ensure timely follow-up for vaccinations, repeat consultations, chronic cases, and preventive healthcare.
- Encourage customer feedback and use it to improve hospital services.
- Monitor customer satisfaction and take corrective action where necessary.
- Develop strategies to improve repeat visits and customer retention.
- Handle difficult customers calmly and find practical solutions while protecting hospital policies and standards.

1. Marketing & Business Development

- Support local marketing activities to increase hospital visibility and patient footfall.
- Coordinate with the marketing team for social media campaigns, offers, events, awareness programs, and promotions.
- Identify opportunities to attract new pet parents.
- Participate in pet adoption events, awareness camps, vaccination drives, and community activities.
- Track the effectiveness of promotions and recommend improvements.

1. Financial & Inventory Management

- Monitor daily billing, collections, discounts, refunds, and outstanding payments.
- Ensure billing is accurate and services are properly recorded.
- Monitor inventory levels and minimize wastage, expiry, and stock shortages.
- Maintain proper control over medicines, consumables, retail products, and other inventory.
- Support cost-control initiatives without compromising patient care.

1. Reporting & Performance Monitoring

- Prepare daily, weekly, and monthly operational reports.
- Track key business indicators such as:

- Daily revenue

- Number of consultations

- New customers

- Repeat customers

- Average bill value

- Diagnostics/procedure conversion

- Pharmacy sales

- Grooming/boarding sales

- Customer complaints

- Customer retention
- Present performance updates to the Hospital Manager/Management.
- Identify problems early and implement corrective actions.
