Role Overview
We are looking for a detail-oriented and student-focused Application Associate to manage and coordinate the student application journey from post-counselling to university enrolment.
The role involves working closely with students, counsellors, sales teams, universities, finance, operations, and partner teams to ensure applications are processed accurately and within defined timelines.
The ideal candidate should have strong communication skills, good knowledge of the Study Abroad application process, excellent attention to detail, and the ability to manage multiple applications and stakeholders simultaneously.
Key Responsibilities
Application & Student Lifecycle Management
- Manage the complete application journey from counselling handover to university application and enrolment.
- Guide students through university application requirements, documentation, deadlines, and next steps.
- Track applications across different stages and ensure timely movement through the funnel.
- Maintain accurate records of student applications, status, pending actions, and enrolment details.
- Identify application or student lifecycle bottlenecks and proactively resolve issues.
Documentation & Application Processing
- Collect, verify, and maintain student documents such as academic records, identification documents, financial documents, SOPs, LORs, resumes, and other university-specific requirements.
- Ensure documents meet university requirements before submission.
- Coordinate with students and internal teams for missing or incorrect documentation.
- Ensure timely submission of applications and follow-ups with relevant stakeholders.
CRM / ERP Management
- Maintain accurate and updated student information across CRM/ERP systems.
- Track application status, counselling outcomes, payments, pending documentation, and enrolment milestones.
- Generate and maintain application and pipeline reports.
- Monitor funnel movement and highlight pending or ageing applications to the relevant teams.
Cross-functional Coordination
- Work closely with Admission Counsellors, Sales, Finance, Operations, and University/Partner teams to ensure a seamless student journey.
- Coordinate payment-related requirements, refunds, documentation, and other operational activities.
- Ensure smooth handover between counselling, application, finance, and enrolment teams.
- Follow up with internal and external stakeholders to ensure timely closure of pending actions.
Student Support & Communication
- Act as a key point of contact for students during the application process.
- Resolve student queries related to applications, documents, payments, deadlines, and university requirements.
- Maintain regular communication with students and keep them updated on application progress.
- Ensure a positive and seamless student experience throughout the application journey.
Market & Process Insights
- Track student preferences, destination trends, university requirements, and competitor offerings.
- Support the team with study-abroad market research and destination-level insights.
- Identify recurring process gaps and recommend improvements to improve application turnaround time and student experience.
- Use CRM and application data to identify trends and support business decision-making.
Partner & Vendor Coordination
- Coordinate with university partners, vendors, and external stakeholders for application-related requirements.
- Track deliverables, pending actions, turnaround times, and service levels.
- Ensure timely resolution of partner-related issues and maintain accountability across stakeholders.
What We’re Looking For
- 1+ years of experience in Study Abroad / Overseas Education / EdTech / University Applications.
- Prior experience in student counselling or student-facing roles will be an added advantage.
- Good understanding of the Study Abroad application and admission process.
- Strong communication and interpersonal skills.
- Excellent follow-up and stakeholder management skills.
- Strong attention to detail, especially while handling student documents and applications.
- Comfortable working with CRM/ERP systems and Excel/Google Sheets.
- Ability to manage multiple applications and deadlines simultaneously.
- Strong problem-solving and ownership mindset.
- Ability to work in a fast-paced, target-driven environment.
